We are looking to recruit 2 x Moves Supervisors to work alongside the Project Moves Lead as part of the Moves Project team, to complete the preparation work and supervise the safe and secure move of Parliamentary Archives collections out of the Victoria Tower.

The Parliamentary Archives holds over 13km of physical records dating back to 1497, it is a shared service of both Houses of Parliament, based in the House of Lords but jointly funded by the House of Lords and House of Commons. It provides innovative and expert information management, preservation, access and outreach services enabling anyone in the world to use Parliaments records, both now and in the future.

Parliament has been considering options to improve the Archives accommodation, to support both Houses public engagement and heritage objectives, and to ensure the continued safety of the collections. The key objectives of the Archives Relocation Programme (ARP) are to remove the Parliamentary Archives collections in an orderly fashion from the Victoria Tower: (i) to reduce the risks to the collection; (ii) to enable Restoration & Renewal (R&R) works to begin; and (iii) to continue to be able to deliver Archives services.

The ARP Business Case has proposed that the House of Lords and the House of Commons will enter into an agreement with a partner organisation about the transfer of the Parliamentary records and the future provision of the Parliamentary Archive services. There is no agreed date yet for the transfer, but this role will play a key role in delivering the work required to prepare and move the collections.

The Moves project will start up in April 2023 and run concurrently with the Prepare and Move (PAM) project. These posts will be a key part of moves activities and will also work with moves contractors.

Job description

These posts will work within a project timetable, alongside the Archive Relocation Programme and Parliamentary Archive staff, to complete preparation work and deliver the safe and secure move of Archive collections to offsite storage premises and the partner organisation

The main focus of these posts is the supervision of records moves from the Victoria Tower supervising tracking, auditing, palletising and working with project and Parliamentary Archives staff, contractors and various key stakeholders.

Key responsibilities within the role include:
• Develop documentation, workflows and processes to enable scanning/tracking of collections items as they move
• Undertaking planning and organisation of preparatory work prior to moves, liaising with other Project and Archives teams.
• Support the Project Moves Lead with the day-to-day management of the logistics, liaising with a variety of colleagues, contractors and stakeholders
• Working alongside Prepare and Move team and Archives colleagues to complete move related activities, e.g. undertaking labelling and or collection care/packaging work, in line with established procedures to enable the safe and secure move of collections items

Person specification

The successful candidate must possess and demonstrate the below competencies:
• Experience of working with Library and Archive collections in a heritage building and / or working in a project management environment.
• Experience and Knowledge: Understanding of the significance of heritage collections and the importance of their safety and security, especially during a move. Experience of working in a fast moving, complex project or programme environment with many constituent parts and stakeholders.
• Team Working and Collaboration: Ability to work in daily close collaboration as part of a small team, but also the ability to work inclusively and flexibly across other project teams and with Archives colleagues
• Accuracy and Attention to Detail: Excellent attention to detail and proven ability to maintain a high level of accuracy and motivation when performing routine and repetitive tasks, whilst also adhering to project targets
• Communication and Negotiating Skills: Good communication and interpersonal skills, with the ability to lead meetings with stakeholders and to explain and negotiate with staff at all levels
• Organisational Skills and Problem Solving: Ability to organise and prioritise tasks when working under pressure to meet deadlines, demonstrating problem solving skills and the ability to adapt to changing situations
• IT Skills: Excellent all-round IT skills, including familiarity with Microsoft 365, in particular confidence in using Excel, and experience in using Collection Management Systems (preferably CALM)

Job description

In consultation with others, plans, schedules, implements, and supervises all maintenance and installation work associated with the Parliamentary Network Infrastructure including major configuration changes, upgrades and environmental and electrical services, ensuring that safety and security procedures are followed.

Advises on and assists with the assessment of the potential impact of specific planned technical changes, to help ensure that potential compromise or weakening of existing security controls is minimised. Also assists in the evaluation, testing and implementation of such changes.

Influences design and development of new and changed systems and services to optimise operational efficiency. Contributes to definition of associated standards and techniques. Recommends operational and maintenance acceptance of new systems and services.

Manages the response to enquiries by users, specialists, and others, prioritising as necessary, and dealing with the full range of operational exceptions and error conditions. Manages sensibly and responsibly, the resolution of unexpected or extraordinary events or incidents only escalating those which need specialist or management attention. Criterion 1

You are experienced in user-centred design and understand how to use customer insight from qualitative and quantitative research to inform evidence-led design decisions. Skilled at creating prototypes to validate designs and able to choose appropriate methods to test your assumptions with users.

Criterion 2

Have strong UI/UX skills, and experience using and contributing to design systems, making sure that your designs are reusable and consistent. Understand the importance of standards and able to produce inclusive designs that are compliant and meet accessibility and legal requirements.

Criterion 3

Have experience in multi-disciplinary ways of working, collaborating with user-centred design and delivery professions (e.g. product, service design, brand, content design, user research, analysts, and technical colleagues) throughout the design process. Join the Parliamentary Digital Service (PDS) as a Senior Applications Analyst and youll be involved in a major transition to a new, far-reaching cloud-based system overhauling existing digital processes, operating models and capabilities. About The Team

This role is to provide technical assistance for applications supported by Information Systems. Information Systems is a large and diverse team, supporting applications in the Procedural, HR/Finance, Facilities/Core and Dynamics365/Power Platforms environments for both the House of Commons and the House of Lords. We also have a dedicated team that supports the operational matters of both Houses. We support Members, their staff and house staff together with other people who work in Parliament.

Information Systems is a collaborative, highly motivated team who are skilled in many applications and methodologies. We handle requests and issues from business areas together with project work to deliver new applications and technologies destined to be used throughout both Houses.

Job description

Schedules the work of applications support staff, taking account of individuals abilities and the requirements of the work. Ensures all work is carried out and documented in accordance with required standards and that any applicable configuration management procedures are adhered to.

Puts in place and maintains procedures and tools for the correct recording and progressing of requests for support within an ITIL framework (incident, request, change, problem). Ensures that appropriate application support tools are available, staff are trained to use them, and that adequate documentation for the applications supported is available and kept up to date.

Monitors and manages performance of application support activity. Takes full responsibility for their effectiveness. Acts to remedy deficiencies.

Initiates action, by systems development staff or software suppliers, on the development of system enhancements to overcome known problems or fulfil user requirements.

Working with IT specialists, uses business experience and skills to assess and advise on the usability and accessibility of different design and system options; the supportability and future maintenance of applications and services; appropriate business continuity and disaster recovery measures.

Advises on tools and methods to be used for the detailed specification and modelling of non-functional requirements. Maintains links with appropriate counterparts within both software development and service delivery functions and assists in bringing systems to implementation as detailed by organisation policies and methods.

The Parliamentary Digital Service are now recruiting a Resourcing Manager who will lead the Digital Resourcing Team. The team are responsible for managing PAYE and interim recruitment at all levels within a specialist IT and digital environment, as well handling the onboarding process for all new starters. They are responsible for ensuring that Parliament secures the digital talent that it needs, facilitating all aspects of recruitment and onboarding for the service that delivers digital support across Parliament.

Job description

The Resourcing Manager will be responsible for:
• providing specialist recruitment expertise to teams across the Parliamentary Digital Service
• managing the performance of the Resourcing team
• ensuring the team delivers a positive candidate and hiring manager experience throughout the recruitment and onboarding lifecycle
• developing attraction strategies to develop talent pipelines
• providing recruitment data and metrics to inform decision making

Person specification

What You Need

To be successful in this role you will have the following:
• significant experience of recruitment of IT/digital professionals including direct sourcing of candidates
• experience of managing an in-house recruitment team; their performance and development
• experience of developing attraction strategies to support the development of a talent pipeline
• excellent stakeholder management skills , able to build great relationships and communicate at all levels
• the ability to pass security clearance, backed by the right to work in the UK
