Pittsburgh Parks Conservancy (PPC) Mission Statement:

Position Description:

The PPC is seeking a highly motivated individual for a full-time position as Director of Operations and Visitor Engagement. Overseeing the Operations and Visitor Engagement Department, the Director is a critical member of the management team. This position will oversee the daily operations at several critical public sites managed by the PPC, including Schenley Plaza, the Schenley Park Café and Visitors Center, and Mellon Square, while also overseeing facilities support at the Frick Environmental Center and a collection of other smaller park locations. This position will also liaison with a cross-departmental team in developing and implementing a robust range of ongoing public programming and partnerships in parks throughout Pittsburgh.

Position Duties:

Performing under the direction of the Chief of Operations and Park Equity, the Director of Operations and Visitor Engagement will be responsible for:

Operations and Facilities Management

Provide leadership for the management of park operations at identified sites, including facilities and & infrastructure maintenance, technical services, and fleet maintenance.
Work with Chief of Operations and Park Equity and other PPC staff to develop and implement asset management plans at Schenley Plaza, the Schenley Park Cafe and Visitors Center, the Frick Environmental Center, Mellon Square, and others as assigned.
Administer a robust visitor engagement program, ensuring all visitors feel welcome in vibrant public spaces supported by the PPC.
Oversee adherence to Parks and Recreation rules and regulations, notifying vendors and users of violations. Position will take steps to seek compliance and contacts Park Rangers or City of Pittsburgh Police when need be.
Liaison with internal PPC staff and external stakeholders to assist in managing a robust schedule of public events, programs, and private event rentals.
Ensure there is an updated Emergency Response Plan across all work sites on an annual basis and manage emergency and other public safety communication protocols.

Programming

Provide the leadership and direction to assure that the PPC provides welcoming and vibrant spaces in a variety of programmatic areas, including festivals, special events, health and wellness classes, play programming, movie nights, live music, family-friendly programming, and more in parks across the system.
Coordinate with various PPC staff and community stakeholders to develop public programs in spaces the organization is active in that reflects resident’s priorities and voices.

Coordinate programs with various Directors and staff from the City of Pittsburgh. This position will serve as a critical point of contact between the PPC and the City of Pittsburgh for the planning and execution of public programs in City parks.
Develop and manage budgets to support public programs in tandem with Advancement Department.
Ensure Advancement Department has details necessary to promote programming through a variety of marketing platforms and communication strategies.

Department Management and Leadership

Hire, coach, manage, and mentor staff that includes 3-5 direct reports and an overall team team of 10 or more seasonal employees.
Manage the schedule for all departmental employees, including seasonal hires.
Prepare and manage the annual departmental budget, project budgets, and goals the department.
Develop, negotiate, and manage departmental contracts and leases.
Support the Advancement Department in grant writing and administration as need be for initiatives supported by private fundraising.
Collaborate and coordinate with all other departments to collectively support achieving organizational goals.
Present updates at Board of Directors committee meetings.
Represent the PPC externally by liaising with a large network of stakeholders, serving as a spokesperson for the organization as needed, and speaking at conferences and panels, both locally and nationally.

Training and Experience (position requirements at entry)

Bachelor’s Degree from an accredited college or university in park and recreation administration, tourism development and management, nonprofit management, facilities management, event management, or a related field. Professional experience may be substituted in lieu of a degree.

At least five (5) years of successful work experience in nonprofit programming, event management, operations, or a related field.
At least five (5) years of team leadership and management experience.
Operational management experience in a customer facing role in a large, fast-paced, public facing environment.
Proven experience and passion for outstanding customer service and customer care.
Proven ability to remain calm and confident under pressure, using sound operational judgment to resolve complex issues.
Experience in a management role, with a proven ability to lead, motivate, and develop a diverse team.
A track record of working collaboratively as part of a team to deliver a high-quality visitor service.
Experience and an understanding of health, safety and security standards as they affect a large public venue.
Excellent written communication and interpersonal skills and the ability to deal effectively and confidently at all levels, with both internal and external stakeholders.
Excellent organizational skills and the ability to prioritize, co-ordinate and delegate tasks in order to meet deadlines while staying calm under pressure.
Ability to handle face-to-face customer complaints with ease and authority, and to assess situations using discretion and judgement to find solutions to problems.

Other Requirements:

This is a hybrid position, allowing for some office/at-home work, but requiring significant amounts of time to be spent in the parks, especially between April and October, in all weather conditions.
Frequent weekend and evening work is required to perform the duties of this job.
Must have a valid driver’s license and ability to drive Conservancy vehicles in and around Pittsburgh.
Must have Act 33, 34, and 114 clearances or be able to obtain them within 60 days of start.

Department Description:

The Interpretive Centers and Sales Department is responsible for developing and operating visitor centers throughout the Golden Gate National Parks, providing visitor information, orientation, and other direct services. Conservancy Interpretive Centers provide educational, functional, and proprietary park merchandise along with changing park exhibits. The department develops park books, maps, and interpretive and branded products, manages warehousing and distribution, operates the Muir Woods Fee Collection program, and develops and operates the Conservancy’s online sales and wholesale programs. Interpretive Centers include Alcatraz Park Stores, Muir Woods Visitor Center, Lands End Lookout, Warming Hut, Fort Point Park Store, Golden Gate Bridge Welcome Center, and Presidio Visitor Center.

Position Overview:

The Seasonal Part-time Sales Associate at the Warming Hut (position will be from May through August) is responsible for delivering outstanding visitor services, selling interpretive merchandise, books, and café beverages to help achieve sales goals, maintaining the visual, store, and merchandising standards, assisting with inventory management, accurate operations of cash register and cash handling, and completing other tasks and duties as directed by Managers, Supervisors, and SAIIs. Additionally, this role will be trained to provide information about park history and trails, San Francisco landmarks, modes of public transportation, and the GG Parks Conservancy.

All candidates must be willing to work a flexible schedule that may include both weekend days and holidays. Schedules may vary by site and by season.

Reports To: Retail Manager, and Assistant Manager

Essential Functions and Responsibilities:
• Welcome, engage, and deliver the highest standard of service to all visitors.
• Answer all visitor questions with courtesy, accuracy, and appropriateness.
• Assists store in achieving daily, weekly, and monthly sales goals.
• Maintain positive and respectful relationships with all internal and external partners (GGNPC, NPS, U.S. Park Police, Park Partners, Presidio Trust, etc.).

Position Overview

Reporting to the Chief Development Officer, the Director of Philanthropy is a senior leadership position within the Parks Conservancy’s Development and Membership Branch, overseeing all individual giving strategies, staff teams, and volunteer committees.

This role manages the following areas of major donor fundraising:
• The People and Parks Forever Fund, a philanthropic campaign to raise $15M to support park programming for people from historically underrepresented communities; increase access to the parks; support youth, family, and community participation in the Parks Conservancy’s activities; and create deeper collaborations with Bay Area non-profit organizations.
• One Tam, a partnership which mobilizes the resources of the National Park Service, California State Parks, Marin Municipal Water District, Marin County Parks, and Golden Gate National Parks Conservancy to ensure a vibrant future for Mt. Tamalpais.
• Parks Conservancy Leaders Circle, which is a group of individuals and families who support the Parks Conservancy with annual gifts of $1,000-$25,000+.

This work includes working with the Chief Development Officer, Parks Conservancy executives, and trustee/volunteer leadership to set financial goals, develop fundraising strategies, and provide excellent customer service to our major donors in all points of the individual donor lifecycle. In addition, the Director will oversee all major donor pipelines, including portfolio assignments and the moves management process. The Director will supervise two associate directors, one manager, and an associate. Finally, the Director will manage a portfolio of major donor gift prospects with the goal of raising contributions above $25,000.

This position is based in the Parks Conservancy’s headquarters at Fort Mason. Work is performed in an office setting, including a mix of telework and on-site. The Conservancy currently requires a minimum of 4 full days per month onsite; however, in many instances it would require more onsite days either in the office or visiting park sites in order to meet the essential requirements of the position. This role is expected to work on-site at Fort Mason for two days per week.

Essential Functions And Responsibilities
• Develop relationships leading to gifts in the $25,000 - $100,000 range and manage an active portfolio and work with assigned prospects to cultivate, solicit, and steward their support.
• Establish ongoing relationships with individual donors and prospects through personal visits, virtual visits, phone calls, and meaningful contacts.
• Create, recommend, and implement revenue and expense budget, track and report on results regularly through the fiscal year.
• Initiate and oversee the Trustee Fund solicitation of the Board of Trustees for their annual gifts; report to and work with the Development Committee Co-Chairs and Chair of the Board of Trustees as appropriate on message, asks, acknowledgments, and follow-up reminders.
• In collaboration with the Director of Special Events, create and implement an annual stewardship plan for the Trails Forever Dinner, Culinary Feast, Fireside Chat, and other special events for donors to strengthen their connection to and support of the Parks Conservancy.
• Provide staff support for the Executive Management Team and high-level volunteers.
• Work closely with colleagues in Communications, Finance, Operations, and other branches to align overall fundraising goals and activities.

Position Overview:

The Vice President of Community and Youth Programs position reports directly to the Deputy Chief Executive Officer and leads efforts to identify and break down barriers to park access by people of color and those historically excluded or marginalized; engage individuals, youth, families and community organizations in unique place-based educational, recreational and service-based experiences; and lift up their voices in the planning and design of park spaces and programming. This role will lead our Community and Youth Programs branch of the organization – which consists of three departments –

(1) Community Engagement & Stewardship (2) Youth Programs (3) Volunteers and Internships.

The Vice President works at an executive level to set vision and direction and lead the planning, implementation, evaluation and expansion of Community, Youth, Volunteer and Internship programs. This includes collaborating across the organization to secure philanthropic support and financial accountability, to effectively navigate employee recruitment, training and performance, ensure participant safety and wellness and work as one Parks Conservancy to meet strategic priorities and goals. Branch / Department Description:

The Community and Youth Programs branch’s primary focus is on the experiences of local communities, especially those historically underrepresented in national parks, through leadership development, skill-building, stewardship, and the co-creation of programs in the parks. All departments work in close collaboration with our National Park Service partner and The Presidio Trust.

· Community Engagement and Stewardship department strives to connect people to these parklands, and the parks to our local communities, by engaging new voices, building trustful relationships, and delivering impactful programs. Staff specifically manage two important cultural resource sites, Alcatraz Historic Gardens and Black Point Gardens, and support the ecologically restoration of other natural areas in the park as a major approach to engaging community in stewardship of their national park and understanding how they can become stewards of their own community.

· Youth Programs department focuses on using the park as a learning environment for examining environmental, social and racial justice, and climate science literacy. Working in partnership with

the National Park Service, community organizations, and schools, youth are provided a ladder of opportunities to build knowledge and skills to increase their resilience and contribute to thriving parks, healthy communities and a more just society.

· Volunteers and Internships department provides the backbone support to the largest cadre of volunteers and interns in the National Park system. Serving as the “front door” and a resource hub, this department provides backbone support for volunteer and intern administration, recruitment, placement, training and recognition; special event coordination; and impact assessment and annual reporting.

The Community and Youth Programs Branch includes 40-50 regular (on-going employees), plus approximately 15-30 temporary/seasonal staff and paid interns over the course of a given year. These employees plan and implement projects and programs that provide the local community opportunities that range in complexity and scale. Branch staff are dispersed across three counties: San Mateo, San Francisco and Marin, with the staff offices primarily at Fort Mason and Crissy Field in San Francisco.

Executive Leadership

Physical Requirements and Work Environments:

The Park Nurseries support the mission of the Golden Gate National Recreation Area by growing native plants for restoration efforts, providing hands-on learning opportunities, and connecting local communities with the park. With the involvement of community volunteers, the Park Nurseries grow up to 150,000 plants a year. Position Overview:

The Nursery Manager supports operations and programming at the Presidio Nursery to produce high-quality native plants for restoration projects throughout the Park. This position includes managing staff in plant production and care, community programs, safety, facilities maintenance, and other special projects. To meet plant production and program-wide goals, the Nursery Manager works closely with the Senior Nursery Manager and staff at other Park Nursery sites. Essential Functions and Responsibilities:

Plant Production
• Delegates, updates workplans, and participates in propagation and inventory tasks such as seed stratification, transplanting, data entry and inventory management to ensure that propagation priorities are completed on time.
• Manages, delegates, and tracks care of container plants including proper irrigation, pruning, fertilizing, pest and disease management, and other tasks to ensure efficient production of the restoration-quality plants.
• Works closely with the Senior Nursery Manager to complete annual Grow Plan. In the absence of Senior Nursery Manager, has awareness of and familiarity with Grow Plan, Inventory and Plant Delivery to be able to take over these responsibilities.
• Maintains active awareness of status of projects. In the absence of Senior Nursery Manager communicates and supports Project Managers.
• Maintains inventory records and data using Nursery Database and detailed tracking systems; completes or delegates record-keeping responsibilities so inventory management is up-to-date.
Staff Supervision and Development
• Supervises, coaches, and mentors Nursery Technician, Nursery Fellow, and seasonal Nursery Interns. Develops individualized workplans and goals with an emphasis on nursery priorities, team values, and community building intentions. Hires and trains these positions when needed in coordination with Nursery Team.
• Supports the work done by the Nursery Technician, Nursery Fellow, Nursery Interns. Ensures that staff receive appropriate training and supervision for their duties. Reviews and corrects work with an emphasis on quality, efficacy, and safety.

Facilities and Equipment Management

• Operates specialized boiler and steaming equipment for sanitation of plant production materials. Co-manages equipment and serves as liaison for partner-owned boiler and steamer equipment.
• Safely handles disinfectants, including isopropyl alcohol, Accelerated Hydrogen Peroxide, other chemicals, and fertilizers. Receives training and personal protective equipment for these duties.
• Participates in annual plant pathogen testing.
Safety
• Allocates time and resources to safety for self, staff, and volunteers, with the goal that each person feels prepared and confident in the tasks they perform and the environment they are in.
• Follows organization’s safety procedures such as completing trainings, Job Hazard Analysis (JHAs), injury and incident reporting, etc.
• Completes or delegates regular safety inspections. Maintains and updates records, including chemical/material inventories, Safety Data Sheets, staff safety training records, and other safety documentation.

Department Description:

The warehouse team supports the Parks Conservancy Interpretive Center and Sales Teams in stocking Park Visitor Centers with innovative products for sales that support the maintenance of the Golden Gate National Parks. In addition to supporting Conservancy retail operations, the warehouse team handles all Parks Conservancy online sales as well as wholesale offerings to external retail partners.

Position Overview:

The Product Fulfillment Coordinator (PFC) is primarily responsible for assisting the warehouse team in its mission to support Visitor Center operations of the Golden Gate National Parks Conservancy. Reporting to the Assistant Warehouse Manager, the PFC is responsible for processing product fulfillment requests from Parks Conservancy Visitor Centers within the parks, online sales, and wholesale operations. Additional responsibilities include inventory management support, quality control audits, warehouse organization and upkeep, processing visitor center mail orders, and other duties as assigned.

The PFC position requires a current driver’s license in good standing as Park Visitor Center and wholesale deliveries will also be part of the PFC’s duties. The position also requires physical labor and the ability to lift up to 50 pounds. Previous forklift experience helpful, but training will be provided. Position is Full Time and will have a set schedule between the hours of 8:30am and 5:00pm, weekend shifts will be required. Shifts starting as early as 6:00am may be required.

Essential Duties and Responsibilities:
• Accurate and timely receipt of shipments
• Review of shipments and prompt reporting of any problems or discrepancies
• Pulling and processing of stock transfer orders for Visitor Centers and between warehouses
• Performing stock checks and inventory cycle counts
• Assisting in annual physical inventory audit – counting upwards of 1,000 different SKUs
• Assisting in pricing of product for retail sale
• Reporting low inventory levels and damaged product to supervisor
• Pulling and processing interdepartmental orders of uniforms, supplies, and products
• Making deliveries to Visitor Centers and wholesalers using company cargo van or 16 FT box truck with liftgate.
• Assist in the safe handling of inbound freight, unloading trucks and ocean containers
• Working to maintain a clean and organized warehouse and work areas
• Processing shipments via UPS Worldship, FedEx, and/or USPS applications for daily pick ups
• Order Fulfillment: Accurate pulling, packing and shipping of online sales and wholesale orders
Vehicle Maintenance
• As part of the delivery driving role, the PFC is responsible for pre-trip inspection of vehicles
• Fueling vehicles using GSA Fuel Card
• Coordinating with supervisor to service company van and truck
• General cleaning
• Adherence to company Covid protocols re: sanitization of vehicle after each use; wiping down steering wheel, gear shift, door handles, etc.
• Reporting any issues, warning lights or needed repairs to supervisor
Knowledge, Skills and Abilities:
• Experience in retail/warehouse environment helpful
• Familiarity with general computer tasks and functions; MS Office, Outlook, etc.
• Reliable, punctual, and able to excel in a fast paced and physically demanding environment
• Proficiency in use of warehouse equipment, pallet jacks, forklifts, dollies, step ladders, etc.
• Able to handle periods of performing repetitive tasks such as mass pricing of products and quality control inspections
• Requires little supervision, able to budget time in completion of tasks and seek out new assignments
• Professional Growth: The PFC will have access to on-the-job training via online learning courses to enhance their work-related skill set and capabilities
