WHAT YOU'LL DO

The Director of Operations & Strategy will oversee board relations and staff development while leveraging the Foundation’s past data to position the organization to succeed in the future. The ideal candidate will inform on the performance, revenue, and strategy across the organization and be responsible for managing the following:
• Relationship Management – Primary facilitator and project manager for Board and related committees
• Analysis & Reporting – Translate and simplify data into actionable insights that lead to business strategies and develop data visualization, through online dashboards for staff across the organization to utilize in measuring their accomplishments aligned to goals and provide reports against metrics to share with Board
• Educate - Provide guidance and support to business leaders and stakeholders including organizing staff retreats and staff development opportunities.
• Research – Identify areas for research and work with vendors to conduct primary and secondary research and provide statistical insight to key stakeholders as needed to inform business decisions
• Forecasting – Must provide “forward thinking” insight
• Marketing and Communications- Supervise Communications and Digital Marketing staff

BOARD RELATIONS, GOVERNANCE, FINANCE, STAFF DEVELOPMENT, & STRATEGY
• Serve as the primary facilitator and project manager for Board and related committee presentations
• Provide thought partnership and executive support for Executive Director and Board Chair (agenda-setting, working with administrative staff to schedule meetings, etc.)
• Support the creation of all Board of Trustees meeting materials including agendas, presentations, and board books
• In conjunction with the Executive Director, manage organizational communications to the Board through the constant collection of information and updates, including maintenance of Board Orientation materials
• Provide strategic advice and support senior leadership staff assigned to a Board committee (including production of briefing materials and tracking follow-up items from each Board Meeting and Board Committee) to ensure that meetings are planned for in a timely manner and run with efficiency
• Oversee the coordination of logistics for full Board and committee meetings working with foundation staff, coordinating with philanthropic development staff, outside vendors, facilities personnel, and others, as needed
• Ensure that the Executive Director has the material and information needed for Board meetings and interaction with trustees
• Anticipate needs, and in coordination with the Executive Director proactively address any trustee or Advisory council member questions or concerns in a timely fashion
• Support the Board Nominating Committee to identify, surface, and manage Board member prospecting opportunities
• Work with the Executive Leadership Team, the Senior Leadership Team, support staff, and department leads responsible for providing content for board and committee meetings.
• Responsible for oversight of all board records
• Responsible for managing and final approval of Executive Director communications to the Board of Directors and all its committees, this includes working with other team members who may be assigned as lead staff to develop content, as directed by the Executive Director
• Work with Executive Director and Development staff to develop and manage a comprehensive trustee onboarding and orientation plan
• In conjunction with the Executive Director conduct briefing and overview of trustees for new senior leadership team hires
• Partner with the Philanthropic Development team senior member on fundraising and cultivation/stewardship events throughout the year
• Work with the Executive Director to prepare, track, and monitor the budget of the Board of Directors and its committees and councils. Work with other team members where needed for support of in-person board and committee meetings.
• Audit and improve existing processes and implement new processes that improve efficiency
• “Lead across lines” / work with all departments to facilitate programs, events, workshops, and fundraisers
• Establish a communications cadence with Board including monthly reports working across the organization to gather information for board monthly reports
• Arrange travel logistics for Board meetings and events: schedule meetings; distribute presentation materials; and record meeting minutes on behalf of the Board Secretary.
• Work closely with Finance for vendor payments, Scholarship payments, Grant payments, Corporate Credit Card Reports, Expense Reports, Reimbursement Reports, Millage Reports, and Petty Cash Reports ensuring departments stay on budget
• Work with LARAS financial to review monthly forecasts and ensure resources are being used in the most effective way possible across departments
• Coordinate annual budget process working across departments and in collaboration with LARAS
• Manage expense control for departments and be proactive in cost reduction leadership
• Manage procurement and selection of vendors
• Serve on executive team working to create comprehensive governance and succession planning
• Create org charts for potential department restructure scenarios.
• Create team program management tools and best practices
• Demonstrate the financial impact of potential restructuring scenarios and collaborate with finance to ensure accuracy.
• Analyze existing program data by state, and internationally - creating maps, tables, and charts to demonstrate impact and provide recommendations for additional research that may be needed
• Assist as needed with departmental restructuring logistics and transitions.
• Onboard and train new staff and staff transitioning into new roles.
• Review and approve expense reports and Pcards as needed
• Learn Development, Scholarship, and Grants systems structure and organization to understand how systems can be streamlined for efficiency.
• Work with all senior executives to ensure that all programs and campaigns stay within budget
• Collaborate with the Executive Director and department directors to complete and submit yearly forecasts and budgets to LARAS financial team and work closely with them in regard to any financial questions or issues.
• Review and approve expense reports and Pcard as needed
• Liaison with legal for organizational contracts
• Manage and track special projects spending review event budgets, approve funding use, supervise coding, and work with LARAS to reclassify expenses as needed
• Participate in regularly scheduled meetings with staff and executive team
• Provide organization process and procedure training for every new team member
• Maintain a department-wide staff 30-day onboarding process and mentorship program.
• Facilitate an annual staff training
• Foster collaboration between new and established staff members by encouraging relationships across all levels.
• Regularly update SharePoint database of all departmental documents and guides.
• Create job descriptions, organizational charts, and onboarding materials for staff as needed
• Maintain state charity registrations
• Support the Executive Director in the development and implementation of the overall strategy for the organization ensuring foundation strategy aligns with LARAS 10-year strategy
• Support broader strategy team efforts
• Special projects as they arise

MARKETING & COMMUNICATIONS
• Oversee communications and marketing manager responsible for organizational positioning, and digital and social media strategy and execution
• Liaison with LARAS for communications and marketing

SPECIAL PROJECTS
• Support a wide variety of Latin GRAMMY week events as a volunteer and staff member.
• Manage departmental executive staff logistics related to GRAMMY Week such as RSVPs and travel details.
• Prepare PowerPoint presentations and Excel documents as needed to support special projects for the Executive Director

ADDITIONAL RESPONSIBILITIES
• Pro-active Day-to-Day reporting and project priority decision-making are core responsibilities.
• Pre-planning, tactical planning, scoping, project management, organization, and delivery of reporting is a critical responsibility.
• Ownership and the management of data platforms, user roles and access
• Develop and/or provide insight into new strategies across the organization
• Oversee vendor selection and management as needed.
• Additional project-related duties may be assigned by the Executive Director for additional strategy needs.
• Serves on the Senior Leadership Team.
• Responsible for maintaining confidentiality with all information, and internal and external communications.

SKILLS & EXPERIENCE

REQUIREMENTS
• Bachelor’s degree, with at least 7 years of demonstrated experience in increasingly responsible management roles, preferably in a fast-paced, time-sensitive environment.
• A Master’s degree in public policy, non-profit management, business, or related field is a plus.
• At least 5 years of experience working with senior-level executives and board members, in board relations or executive communications capacity.
• Detail-oriented and organized; ability to be a self-starter and to multi-task and project management in a deadline-pressured environment.
• Excellent oral and written communication skills, including structuring and drafting strategic presentations for the Board.
• Must be a strong team player with excellent diplomatic skills.A problem-solver when the answers aren’t always obvious.
• Ability to exercise a high level of professionalism, discretion, diplomacy, and judgment, as well as handle sensitive and confidential information.
• Advanced computer skills in all Microsoft programs, including PowerPoint, Word, and Excel.
• Working knowledge of CRM and Email platforms like: Mailchimp, Blackbaud, DonorPerfect
• Proven ability to deliver post-mortem assessments, performance dashboards, and executive summaries that clearly translate and contextualize the data.
• Ability to speak and write Spanish a must, Portuguese a plus

What You'll Do

This position reports directly to the Client Services Director, Partnerships & Business Development. In this role, you will be responsible for maintaining and renewing current partnerships by developing well-planned sponsorship strategies and targeting prospective brand & digital partners. This role is key in generating new revenue to meet the organization's financial goals and objectives.
• Manage all aspects of execution for Recording Academy brand partner programs under direction from Client Services Director
• Build and foster relationships with all partnership accounts
• Develop client-facing Scope of Work that outlines custom program details
• Drive timeline management and deliverables to hit deadlines
• Oversee budget tracking for internal brand partner activities to ensure the custom program stays within budget

• Identify and attend key networking events and functions

• Development of new asset ideation and experiences.
• Organize sponsorship inventories including signage, digital, web, onsite presence, etc.

Skills & Experience
• Bachelors Degree in Business Administration, Marketing or relevant field
• Minimum 4-5 years in Sponsorship Sales/Activations with a focus on Project and/or Account management
• Very strong verbal, organizational and problem-solving skills and must be extremely detailed oriented
• Works well in a fast-paced environment
• Strong computer skills with previous experience using Microsoft Office
• Integrity to safeguard confidential information
• Ability to work with minimal supervision
• Capability to multi-task and manage multiple sponsorship activities at once
