The incumbent will have extensive contact with internal- and external-facing stakeholders and will provide excellent quality customer service related to inquiries about CESA, including handling correspondence efficiently and professionally, while following departmental guidelines for answering, directing, and responding to incoming communications. Strong interpersonal skills and attention to detail are required. The incumbent must work well with a team, maintain a professional demeanor when responding to inquiries, and be articulate and effective when communicating objectives and goals of the office. The incumbent will provide administrative support for the CESA office, including demonstrated expertise with APA operational systems relevant to the office, such as those associated with Finance, ITS, and quality assurance / data handling. The incumbent must also demonstrate the ability to organize information, be reliable, show initiative in completing tasks, and provide necessary communication to APA members, stakeholders, and staff. Activities are assigned, and normally reviewed once a week or as necessary to keep work on schedule and projects on time; incumbent is responsible for initiating conversation and consultation with supervisor on project progress aside from regular meetings.
Education and Experience Required:
• Bachelor’s degree or four years of relevant office experience
• Evidence of effective verbal and written communication skills
• Evidence of excellent customer service experience
• Experience in regulatory environments / work settings

Computer Skills Required (including level of expertise):
• Advanced proficiency in Microsoft office, email programs, online application and technical systems (e.g., Salesforce), virtual meeting platforms (e.g., Microsoft Teams and Zoom)
• Proficiency with data handling systems (e.g., Microsoft Excel and SPSS)

Responsibilities:
• Provide quality customer service; independently evaluate inquiries and appropriately respond to requests; and demonstrate clear contributions toward an effective, efficient, and professional work environment. Consult with supervisors as needed
• Manage and maintain confidential electronic file system and database in a timely, ongoing, consistent manner
• Manage reports and application submission timelines
• Provide administrative support related to meetings and office activities
• Provide consultation related to the standards and policies, appropriately feeding forward any relevant information based on such consultation (e.g., to inform future communications)
• Provide evidence-informed recommendations to enhance resources / processes based on office data
• Assist with reviewing of reports and communicate feedback to ensure compliance
• Interact with external committee or group members, sponsors, and general public regarding the CESA office; Form working relationships with internal or external contacts
• Regularly initiate communication with relevant parties to ensure optimal workflow (e.g., Finance, ITS, supervisor(s), Membership, etc.)
• Serve as the primary point of contact for website (JIRA) requests submitted on behalf of the CESA office: work closely with ITS on an ongoing basis; design and implement updates in the best interest of APA and applicants/sponsors
• Track and process budget and financial-related items (to include tracking revenue and expenses)
• Facilitate resolution of complaints filed against APA-approved sponsors in consultation with supervisors
• Other duties as assigned.

The Center for Psychology in Schools and Education (CPSE) promotes the high quality application of psychological science to programs and policies for schools and Pre-K through grade 12 education. The office serves as a liaison both within APA and with national educational and scientific societies, federal agencies and the... general public concerning the education and development of children and adolescents.

CPSE intern responsibilities may include assisting the director and the program officer on projects stemming from working groups, including the CPSE Coalition, High Performance Coalition, Board of Educational Affairs, etc. Duties may also include reference list checks, literature searches, formatting, etc. Administrative tasks may include meeting preparation, such as putting together folders and setting up meeting space. Academic interns for school credit may also be assigned a project working specifically towards a pre-set list of learning outcomes coordinated with the program officer and Internship Director (at his or her institution).

• Assists with Library Marketing team's social media activities, including designing creative and developing content for Twitter, Facebook, and LinkedIn.

• Researches marketing trends to develop new tactics, improve existing campaigns, and support the development of resources for key stakeholders.
• Supports data hygiene by auditing and updating customer lists.
