Serves as the liaison between the CIO and agency staff on administrative activities and issues pertaining to correspondence affecting agency operations. Respond to inquiries and requests, provide accurate and timely information, schedule appointments as needed and coordinate signatures on written responses where applicable. Screen CIO-related incoming calls and departmental mail, disseminate as appropriate or solicit input from program staff for an accurate response, maintain suspense files on correspondence related to program areas and ensure timely response. Assist OIT Leadership Team as needed or assigned.

Attend ITL meetings to capture minutes and action items; serve or attend agency committees as assigned.

Serve as the OIT Liaison for Human Resources. Assist with various personnel action, forms, and process for the CIO, ITL, and department supervisors as needed.

Assist with departmental administrative activities. To include purchasing supplies. Assist staff with travel reimbursement and making in state and out of state travel and conference arrangements as needed. Other administrative support duties as assigned.

Provide coordination and organization for departmental events and activities. Manage department conference room calendars.

Minimal amount of travel will be required. Will be assigned an agency mobile device and will be considered essential personnel during emergency events. Some after-hour and weekend work may be required.

Minimum And Additional Requirements

State Minimum Requirements: A high school diploma and relevant experience in business management, public administration or administrative services. A bachelor's degree may be substituted for required work experience.

Institutions of Higher Learning must be recognized by the Council for Higher Education Accreditation.

Additional Agency Requirements: Experience and proficiency with Microsoft Office Suite.

Strong time management skills, ability to muti-task, and attention to detail. Ability to maintain confidentiality and discretion with confidential information and situations. Knowledge of state procurement and making purchases with pCard.

Functions as a representative on the Vital Records Amendment Team. Provides support and review of evidence for regional vital records staff and state office mail requests. A primary contact for review of entitlement and/or amendment, unseals records, and legal corrections. Initiates and completes amendments to include court orders, affidavits of amendment, and paternity amendments. Accounts for calls and documents received from regional staff.
• In a team environment, initiates and completes affidavits of amendment and paternity amendments per established procedures, assuring all laws and regulations are followed. Processes court ordered amendments; seeks consultation from supervisory chain as needed.
• Communicates with customers both verbally and in writing to resolve any questions or discrepancies and advises on procedures for making amendments as needed. Questions or discrepancies to be presented to supervisory chain as needed.
• Correctly reviews acceptance of amendments or corrections submitted by regional Vital Records staff according to established Vital Record procedures, and all applicable laws and regulations. Correctly logs the acceptance/rejection of submissions.
