• Produce and plan all of SAGE’s fundraising and cultivation events in New York, including the SAGE Awards & Gala, Pines Celebrations, Chic, Women’s Dances, Toys Party, and the Hamptons Tea Dance, and in other key domestic markets, including Miami, Fort Lauderdale, Washington D.C., Los Angeles, New Jersey, and Palm Springs (events & locations subject to change)
• Oversee all event logistics including, but not limited to, venue research, vendor management, budget management, timeline creation and management, staffing coordination, and creation of the vision for decor and branding for all fundraising and cultivation events
• Create and manage event expense budgets, ensuring that events maintain a low cost-to-dollar raised ratio
• Prepare project management timelines for all events, coordinating with responsible internal and external stakeholders to ensure deadlines are met
• Manage all vendors associated with SAGE’s special events, including contract negotiations, invoicing, payment processing, and day-of event production
• Provide coordination with key internal team members to ensure revenue goals are reported on a regular basis
• Continually monitor revenue, expenses, and expected attendance, routinely reporting progress to supervisor and other organization leadership
• Coordinate with the development team to ensure sponsorship fulfillment and volunteer engagement for all events
• Coordinate and manage all internal and external event meetings
• Serve as one of the primary liaisons to event leadership committees, providing support and guidance for them to fulfill their goals and regular updates on event progress
• Oversee all material production, mailing lists, and event communications schedules
• Serve as primary liaison and coordinator for all event program elements, including awardees, hosts, videos, auctioneers, performers, and other talent, as required
• Manage table seating, journal ads, and silent or live auction procurement
• Ensure integration of SAGE’s mission throughout event process, including marketing, communications, and on-site integration
• Prepare final evaluation of events to assess performance against objectives and provide suggestions for future enhancements in a timely manner
• Organize and manage master schedule of events throughout the year
• Manage other event duties as assigned
• Serves as a backup resource and, on occasion, assists other team members on specific projects and in ensuring and expediting the workflow of the department
Key Skills, Competencies and Desired Qualifications:
• Minimum of five years of event production experience, preferably at LGBTQ+, human services, advocacy, or similar non-profit organizations
• Skilled in managing complex events and experienced with both event planning and day-of execution
• Excellent interpersonal skills to work closely with donors, staff, board members, volunteers, and external vendors
• Superior organizational skills and ability to prioritize and multi-task, meeting all deadlines and deliverables to ensure smooth running events
• Ability to work independently and collaborate as a team member
• Strong written and communication skills are required
• Superior ability to manage and evaluate budgets and monitor all event spending
• Professional demeanor and ability to work well with a wide range of diverse stakeholders (internal and external)
• Excellent time management skills and the ability to handle many details, focus on task completion, manage workflow, and produce under the pressure of multiple deadlines
• Solutions-orientated, with the ability to provide leadership and expertise on all event elements
• Prior experience in the LGBTQ+ community, especially in event planning and/or fundraising positions, and/or familiarity with aging concerns, is a plus
• Experience using Salesforce is a plus
Position Type: Full-time, Exempt position. This position is a Hybrid role three days a week.
Schedule: Generally, 35 hours/week, Monday – Friday, 9:30 AM – 5:30 PM; evening and weekend work required around events plus some travel.
Salary Range: $85,000 -$100,000k
