Job Title : Assistant Director of Distribution Services

Reports to: Director of Distribution Services

Position Summary

The Assistant Director of Distribution Services oversees receiving, courier, and mail services personnel to ensure tasks for the department are performed timely and accurately. The Assistant Director assists leadership with planning, organizing, and directing operations within Distribution Services. They serve as a liaison to the campus community, USPS, and other external mail services regarding PCOM mail services and operations. This position reports to the Director of Distribution Services.

Essential Duties And Responsibilities
• Assess the efficiency of Distribution Services’ procedures and recommend and implement service enhancements.
• Responsible for coordinating and ensuring the accurate completion of all bulk mail projects.
• Responsible for coordinating computer importing and exporting of files in various formats to be automated for the best postal discounts
• Organize mail operations and maintains addressing computer system, tabbing, inserting, labeling, and mail processing equipment for mail and bulk mail projects.
• Coordinates the bulk mailings process through Pitney Bowes and Quadient systems; mail merge, inserting and addressing letter and envelope machine
• Coordinates mail operation; sorting, processes, seals, and posts all outgoing mail by hand or machine in compliance with USPS regulations
• Coordinates with all mail processes; sorting and distributing mail to the correct destination, according to schedule, all incoming and interoffice mail and small parcels to ensure that mail operation is accurately completed
• Coordinates with all receiving and courier operations to ensure that incoming shipments are accurately documented and delivered. This includes tagging, UM receiving, document destruction, DS stored supplies, and Ricoh copier supplies.
• Supervise Distribution Services’ personnel to ensure all tasks are completed timely and accurately.Ensures that there is proper coverage at all times.
• Prepare and conduct performance reviews, and identify goals and objectives, and development opportunities for staff within Distribution Services.
• Assist with documenting proper training of all receiving, mail, and courier personnel
• Functions as the timekeeper for Distribution Services on all campuses
• Responsible for replenishing funds in PA mail accounts
• Assist with all monthly Finance reports ensuring they are completed timely and accurately
• Responsible for completing monthly reports to be distributed to various departments.
• Accurately utilizes all of distribution services’ technology and softwares including but not limited to the Microsoft suite, Quadient’s WTS handheld palm pilots, Quadient’s WTS receiving software, Banner, Unimarket, Chrome River, Pitney Bowes, and Quadient’s shipping and reporting system.
• Picks up and delivers mail and parcels using the company-owned vehicle as needed.
• Maintains established institutional and departmental policies and procedures, objectives, and quality and safety standards.
• Serve as liaison to the campus community, USPS and other external carrier services; resolve problems associated with mail service operations.

Required Experience
• Minimum 3 years supervisory experience
• Minimum 5 years shipping and receiving experience

Education
• Associate’s degree preferred, equivalent related experience is acceptable

Certifications, Licenses, Registrations
• Valid driver's license issued by state of residence with no accidents and/or violations in the past three (3) years.

Physical Demands
• Pushes/pulls or moves/lifts heavy equipment/supplies
• Extremely heavy physical effort (lift/carry 50 lbs. or more)
• Frequent prolonged standing/walking
• Operates Distribution Services equipment safely; adjusts, cleans, and maintains.
• Performs other related duties as assigned or requested.

Basic Function:

The Research Assistant will assist investigators and the study research coordinator from the Philadelphia College of Osteopathic Medicine's (PCOM) School of Professional and Applied Psychology (Clinical Department) on a clinical trial of psychological treatments for opioid use disorder. Funding of this position is contingent upon the continued funding of the grant/contract.

This position will require full-time work in Atlantic City, NJ.

Duties/Essential Functions:
• Screen, recruit, and consent study participants
• Work with study site providers and staff to identify potential participants
• Obtain study-related data from participant medical records
• Schedule study visits
• Collect study-related interviews, surveys, and assessments
• Enter data
• Conduct literature reviews
• Prepare materials for submission to external funding sources
• Prepare materials for IRB review
• Maintain study databases and participant tracking systems
• Request or acquire equipment, surveys, or supplies necessary for the project
• Attend project meetings
• Attend site visits and other meetings as necessary
• Prepare reports for study investigators and funding agencies
• Participate in study-related peer-reviewed publications
• Monitor the project budget
• Perform related responsibilities as required.

Minimum Qualifications:

A Bachelor's degree in psychology, social work, public health, or a related field and one year of undergraduate or professional research experience, or an equivalent combination of experience, education, and training. Additional site-specific requirements and credentialing may apply.

POSITION SUMMARY

The Master of Science Program in Mental Health Counseling in the School of Professional and Applied Psychology (SPAP) at the Philadelphia College of Osteopathic Medicine (PCOM) is seeking applicants for a full-time (12-month) tenure track position, to begin Spring 2024. This position is already funded. This is an open-rank position; rank will be commensurate with experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Responsibilities include (but are not limited to):
- Teaching 7-8 courses a year, many within the core curriculum and many in-person (there are opportunities to teach a class or two in a virtual manner)
- Mentoring and advising students including scholarly activities and presentations
- Engagement in remediation meetings and development plans for students (SPEC)
- Providing clinical supervision through field experience courses
- Participating in the administration of the mental health counseling program
- Engaging in recruitment activities, admissions interviews and decisions
- Scholarly activity in areas of specialty
- Reviewing STEPPS (standardized patient) encounters
- Participating in the CACREP self-study and accreditation application process
- Participating in program, departmental, and college service such as but not limited to college committees, club sponsorships, advisory committees, student/faculty recruitment and mentoring of new and part-time faculty
- Developing a system for ongoing evaluation of both teaching and learning including course competency expectations and student learning outcome measures
- Engagement in national or local counseling associations
- Performing other duties and responsibilities as assigned by the Chair of the Department of Counseling and/or the Dean of the School of Professional and Applied and Psychology

The successful candidate will possess the following attributes:
- Ability to form a positive collaborative, supportive and effective working relationship with peers and administration is essential
- Excellent interpersonal, teamwork and collaborative skills; someone who actively contributes and listens to their coworkers, respects ideas and aims to improve the program - essential
- Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff and community members. Supports and enhances a sense of belonging and success of students from traditionally marginalized populations.

- Knowledge about the needs of diverse learners
- Desire to teach courses in a program that values the Cognitive Behavioral Therapy (CBT) approach as well as integrated care/interprofessional education

- Ability to assist program leadership to maintain CACREP accreditation standards and pursue alternate teaching modalities (online/hybrid)

POSITION REQUIREMENTS

Education, Skills and Abilities
- Doctoral Degree in Counselor Education and Supervision (CES) from a CACREP accredited University with conferral of degree by December 31, 2023 (required)
- Counseling experience in mental health and/or behavioral health settings
- PA Licensure or license eligible (required)
- At least two years teaching experience at the graduate level; can include doctoral field work
- A planned program of scholarly activity
- Demonstrated excellence in interpersonal, teamwork, and collaborative skills

Preferred Qualifications
- Active in state or national counseling associations (e.g., ACA, PCA)
- Ability and desire to teach courses within our addictions and correctional counseling concentration and/or Marriage and Family concentration
- Potential to secure grant funding
- Experience working with diversity, equity and inclusion programs

Working Conditions
- This is NOT a Remote Position
- Position has the ability to be hybrid two days per week as long as the candidate is within reasonable distance of PCOM Philadelphia campus
