Due to growth, we have created a position as a Program Coordinator, reporting to the Chief Program Officer. This position assists the Chief Program Officer in the administration of programs and member services. This includes working with department staff to help expand and strengthen the national network of community basic needs banks, facilitate member engagement, and demonstrate NDBN’s growing impact.

Primary Duties

Membership Services
• Respond to email and phone inquiries regarding membership.
• Help interested nonprofit organizations and community groups advance to the application phase by providing guidance on membership eligibility.
• Review applications for membership to ensure they are complete and communicate with applicants to help them submit strong applications.
• Coordinate member dues and data collection.
• Coordinate the publication of monthly member newsletters.
• Maintain accurate, up-to-date membership records in database (Salesforce) and compile support documents accessed by NDBN staff.
• Provide coordinator level support for member programs, including but not limited to NDBN’s grant program, bulk donation distributions, and NDBN’s national conference.

Department Support
• Provide administrative support to the chief program officer and programs department staff.
• Maintain up-to-date shared organizational tools (such as calendars, procedural guides, checklists, and file systems).
• Arrange meetings, share agendas, take meeting notes, conduct follow-up tasks.
• Help facilitate project completion, monitor due dates and progress, communicate with participants, and compile information into spreadsheets and text documents.

Work as part of a team to develop, implement, and coordinate new programs and services.

Qualifications/Requirements
• At least 3 years of experience in program coordination, membership management, or customer service.
• Excellence in communicating with diverse audiences and providing friendly, professional service.
• Ability to work independently in a focused, timely manner while managing multiple projects at once.
• Strong organizational skills including ability to document the progress of work.
• Ability to request supervisor support as needed, generate ideas and propose solutions, and follow through on directions.
• Advanced computer skills with Microsoft Suite: Word, Excel, and PowerPoint.

POSITION SUMMARY

Under the direction of the Program Coordinator, the Program Assistant represents the diaper bank program to a network of 200 nonprofit organization partners, the general public, volunteers, donors, and internal staff. The Program Assistant assists the Program Coordinator in ensuring program quality and compliance is maintained by the diaper bank’s network of partner agencies, which includes providing an effective monitoring and evaluation system, ensuring agency partners are in compliance with required program regulations and policies, identifying and developing networking sites, and serve as a liaison between the program and the public. Assigned work requires the use of initiative and judgment in selecting appropriate work methods and ability to handle routine to non-routine questions. This position requires extensive and frequent travel throughout San Bernardino County and will interact with individuals from diverse socioeconomic backgrounds. The ideal candidate will be passionate about our mission, driven, persuasive, customer service focused.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Serves as the secondary contact for partner agency organizations and is responsible for development and ongoing implementation of all Agency Relations activities.

2. Conducts program compliance monitoring with partner agencies to ensure partner agencies comply with program requirements.

3. Conducts program trainings and orientations with partner agencies in one-on-one and group settings.

4. Assists technical training and on-site implementation of electronic client intake system.

5. Continually monitor partner agencies for growth or decline and suggests appropriate changes to help develop and support partners.

6. Develops effective collaboration among partner agencies.

7. Works cooperatively with the warehouse team to ensure good customer service and prompt response to requests or complaints.

8. Conducts orientations for new distribution site volunteer coordinators and volunteers.

9. Prepares correspondence and schedules as required; compiles and calculates data to create program reports.

10. Plans and conducts diaper and fund drives with public, private, and non-profit agencies.

11. Assists Program Coordinator in the development and preparation of proposals, budgets, and program planning as needed.

12. Plan and execute activities to benefit and serve partner agencies and the low-income community.

13. Attends meetings, conferences, seminars, and travels throughout San Bernardino County as required.

14. Conducting monthly inventory, taking orders.

15. Coordinating monthly reporting of diaper inventory.

16. Drive a forklift and pallet jack.

17. Performs other duties as assigned.

PHYSICAL AND ENVIRONMENTAL REQUIREMENTS

Position requires intermittent sitting, standing, walking, twisting, and bending. Simple grasping and hand manipulation, as well as, reaching above and below shoulder level. Must be able to lift boxes weighing up to 30 pounds. Requires working indoors in temperature-controlled environment with some exposure to copies and printer chemicals and/or fumes. Requires working outdoors in varied environmental conditions and temperatures.
