Position Summary:

Reporting to the Director of Sales, this individual will serve as the key administrative support to the Group Sales Team of Niagara Falls Tourism. Such support services will ultimately ease and improve the workload of the NFT Sales Team; enabling them to focus on strategic vision, development and decision making.

This position is an integral partner for the implementation and measuring of our strategic plans for... the following areas:

Sales Support:
• Develop a working knowledge and understanding of the Sales Manager’s desk in order to cover during absences, vacations, off-sites, etc.
• Provide FAM support through administrative duties and coordination of collateral as directed by Sales Managers.
• Execute FAMs as required to assist Sales Managers.
• Assist the Sales Managers in the preparation and distribution of reports including post-mission/tradeshow reporting and monthly sales reports.
• Preparation for Sales Mission and Tradeshows (giveaways, USB uploads, etc).
• Acts as client contact (including but not limited to site inspection) when Sales Manager is not available.
• Act as principle contact for the Client Relation Management Software System, assisting with reports and training.
• Manage promotional inventory.

Qualifications / Required Skills
• Successful completion of related college or university program
• 2 years’ experience in a similar role (Tourism related field considered an asset)
• Advanced organizational ability and time management skills required
• Exceptional customer service skills and effective communications both written and verbally
• Advanced knowledge of Microsoft Office Suite (Word, Excel, Power point etc)
• Detail oriented and works with a high degree of accuracy
• Fluency in French, Spanish or Mandarin considered an Asset.
• Ability to work independently and work well within teams with the goal of consensus building within NFT’s framework

3.0 JOB REQUIREMENTS

Required Education

3.1.1 Successful completion of related college or university program.

Association Affiliation

3.2.1 Current membership to... recognized travel/tourism associations preferred.

Experience

3.2.2 Minimum of 5 years of experience in travel/tourism industry.

3.2.3 Minimum of 2 years senior sales management experience.

Skill, Knowledge and Abilities

3.2.4 Knowledge of local, regional, national and international tourism trends.

3.2.5 Vast knowledge of the Meetings, Conventions and Incentive Travel Sales Markets.

3.2.6 Vast knowledge of sales including sales strategies, policies and procedures, and analysis.

3.3 Working Conditions

3.3.1 Requires standing, walking, sitting sometimes for long periods of time.

3.3.2 Position requires travel including air flight travelling to domestic and possibly international destinations. All proper travel and clearance documentation (the ability to travel internationally) is required.

3.3.3 Work will be performed normally within eight to ten hours per day; and based on client demand will require weekend scheduling. There is occasional casual overtime. Some days may contain early or late meetings beyond the scheduled work hours.

4.0 ESSENTIAL FUNCTIONS

Sales

4.1 Full accountability and management for “prospecting, soliciting, researching and qualifying” meeting, convention and incentive business, including room night, Food & Beverage and Attraction components.

4.2 To be aware, accountable and responsible to achieving the prescribed Sales Revenue Targets as established by the Director of Sales and the budget goals of the organization.

4.3 To travel out of town where required to attend designated Trade Shows, Marketplaces, Sales Mission Trips, Sales FAMS as specified by the Director of Sales. Such initiatives are to be self-managed (registered, coordinated, attended, follow-up)

4.4 Prepare clear and concise reports and accurate recording of budget expenses.

4.5 To plan, carry out and ensure “Sales Solicitations” are completed to achieve sales targets as outlined by Sales Budget & Sales Plan which include but are not limited to:

· Repeat Business Soliciting

· New - Outside Sales Calls

· Telephone Marketing – New business

· Site Inspections

General

4.6 Cultivate and maintain an extensive knowledge of all NFT functions, initiatives and activities.

4.7 Closely monitor industry trends and local issues impacting NFT’s organization and destination marketing work.

4.8 Participate in professional societies and activities related to hospitality and DMO industry.

4.9 Network with other CVB professionals to learn of new and unique ideas for organization and destination marketing.

5.0 MEASURES OF PERFORMANCE

5.1 Increase annual revenues for generated meeting, convention and incentive travel business revenue for membership and Niagara Falls

5.2 Demonstrate sound judgment and decision-making

Our tour guides must be able to lead multiple groups of visitors through points of historical, cultural or regional interests. They will be able to provide in-depth knowledge about destinations frequented by tourists, and vacationers from all around the world. Tour guides must be able to retain historical facts, dates and anecdotes, and then relay that information to visitors in an entertaining, and informative way. Guides should be able to drive while presenting commentary, as well as coordinate pre-arranged tour activities such as visits to local attractions, restaurants and shops throughout Niagara Falls.

Our tour guides will be trained on-the-job, but will also require a tour guide licence mandated by the Niagara Parks Commission's office.

Duties and responsibilities of employees include but are not limited to:
• Prepare vehicle prior to tour: Clean inside and out, fill gas tank, circle check
• Check morning pick-ups and prepare best route
• Complete pick-ups and contact dispatch to notify of problems and successful pick ups
• Introduce yourself and each visitor in a professional and friendly manner and create a relaxed environment for guests to enjoy
• Narrate while driving between destinations, informing guests of all the sights and information about the area.
• Take care of all ticket purchases and walk guests to and from vehicle/attractions
