NCTM is seeking a Content and Learning Coordinator to support the Content and Professional Learning Division in all activities... related to the division’s programs and services. NCTM is seeking a Content and Learning Coordinator to support the Content and Professional Learning Division in all activities... related to the division’s programs and services. This position also supports the Associate Executive Director (AED) with activities related to the Research Conference and Affiliate services. This role supports two AEDs, with most of the duties and responsibilities falling under Content and Professional Learning Division.

RESPONSIBILITIES

Supports the Content and Learning Division in all Activities Pertaining to Programs and Services
• Produces, edits, reviews, proofs, and tracks contracts and statements of work for presenters and consultant services.
• Creates, organizes, and maintains complex project files, consisting of reports, contracts, invoices, budgets, and correspondence.
• Completes and distributes contracts as directed to schools/districts for professional services.
• Monitors professional development email and ensures that all messages are answered either personally or by the appropriate staff.
• Monitors and maintains the professional services calendar which includes all onsite and virtual professional development (PD) with schools/districts.
• Develops a coaching schedule for all long-term PD contracts.
• Organizes all materials and handouts for preconference speakers at the Regional and Annual Meetings and coordinates timely shipping.
• Supports professional development, publications, research, and/or conference services onsite at the Regional and Annual Meetings based on need.
• Works with the hotel on affiliate functions in conjunction with the Annual Meeting and Regional Conferences
• Coordinates and supports communication with invited speakers (Ignite, roundtable etc.)

Supports all Activities Related to Research and Affiliate Services
• Supports AED with all aspects of the Research Conference.
• Supports the work of the Membership and Affiliate Relations Committee’s including preparation for the Regional Caucuses and Delegate Assembly at the Annual Meeting.
• Provides website management and email support for the Research Conference, including proposal submissions, reviews, and decisions, and supports MARC/Affiliate-related activities.
• Supports AED with other administrative duties as assigned.

Supports Staff Liaisons in all Activities Pertaining to Committee, Task Force, and Panel Assignments
• Assists in preparing accurate and complete committee, task force, and panel materials/packets.
• Updates contact information on CGI, COMAD, and member volunteer rosters.
• Assists with the preparation and coordination of committee, task force, and panel meetings, including meetings on and off site, online, and on the phone.
• Coordinates with appropriate staff for hotels, meeting rooms, catering, materials, and other arrangements necessary for events and meetings of committees, task forces, and panels.

Maintains the Division Content for Intranet and Internet
• Maintains content for the intranet pages pertaining to the division.
• Updates Intranet calendar with all division events.

Provides Administrative Support
• Provides assistance on special projects as needed.
• Reviews and edits all PD videos before distribution.
• Manages and routes all BrightKey questions and requests for the division.
• Catalogs NCTMbooks and journals.
• Sends copies of new NCTM publications Board/committee members.
• Maintains and organizes files for the division.
• Coordinates inter-department communications and work requests (marketing, publications and communications, e.g., editorial reviews, proofreading requests, etc.).
• Manages and processes author royalty payments.
• Supports conference speaker database management.

Travel to NCTM Annual Conference and Regional Meetings. Additional travel may be required to support other Professional Development events. Travel is approximately 10 percent or less.

SKILLS & ABILITIES
• Proficiency with MS Office, intermediate or greater knowledge of Word and Excel required.
• Proficiency with Adobe Acrobat Pro.
• Advanced oral and written communication skills for both face-to-face and online interactions.
• Ability to organize work effectively.
• Ability to work well independently and in a team environment.
• Ability to work under tight deadlines.
• Ability to prioritize, plan, and manage multiple activities simultaneously.

QUALIFICATIONS

Education: Bachelors’ degree desired.

Experience: Three to six years administrative office experience.

Experience working in a non-profit setting is preferred.
