Essential Job Duties:
The Administrative Support Specialist position independently provides specialized high-level support to the Department of Population Health and Pathobiology (PHP).

The Administrative Support Specialist position's duties include, but are not limited to:
• Manage Department Head's complicated and demanding calendar to minimize conflicts and ensure needs are met accurately and efficient use of time;
• Identify college priorities when managing meeting requests;
• Assist faculty members with the formatting, compilation, editing, and preparation of faculty dossiers for the Reappointment, Promotion, and Tenure (RPT) process (4-8 annually). Incumbents must be very familiar with the process (including understanding scholarly accomplishments and where they are reported in the dossier) as they will provide a high level of expertise in coaching faculty through the process. The dossier will go to the Assistant Department Head for final review with minimal corrections expected;
• Assist faculty with post-tenure review process: Gathering required materials for 5-year review, setting up meeting with the committee chair, attending meetings, and submitting the final review to the department head;
• Assist Accounting Technician with gathering receipts and organizing monthly purchase card statements (6-10). Responsible for verifying an adequate receipt is provided. Must be familiar with different funding accounts (state, non-state, practice plan, etc.) and have the ability to pull reports in the University system. Cross-train on all Accounting Technician duties including approving requests for requisitions (RFR), approving marketplace transactions, and creating FedEx labels;
• Annual Review Process: Verify annual reports are completed, schedule reviews, and scan/file final reviews;
• Assist Department Head with gathering report information for 5-year department head annual review on a yearly basis. Annual reports will be sent to the Dean for inclusion in Departmental and College reports to the Provost;
• Independently plan departmental events, such as monthly research lunch meetings, retirement receptions, annual holiday parties, annual picnics, and annual retreats;
• Attend Monthly departmental meetings and quarterly CVM faculty meetings: Prepare agenda and minutes for distribution to department and/or College;
• Update departmental phone listings and organizational chart;
• Serve as a primary department resource for day-to-day activities;
• Track yearly internal departmental research funding;
• Track departmental international and domestic travel and work with project specialists to ensure classes are covered;
• Build strong professional working relationships with faculty and external clients/vendors;
• Exercising concise, professional, and advised communication with all candidates for each PHP position;
• Exercising a high degree of professionalism and providing accurate information that is vital to the compliance and reputation of the department, college, and university in recruitment communications and activities. Performing general office support duties on an as needed basis such as sending faxes and mail, composing, typing, and proofreading letters and memos, creating Doodle polls, etc.;
• Serve as a backup for both the Program Specialist and Accounting Technician. This requires the incumbent to be fully cross-trained in the duties of both positions. Faculty frequently stop in with a small window between their clinical duties and as a result, this position must be able to think on their feet to answer complex questions in an expeditious and friendly manner.
• Position functions completely independently in direct support of the Department Head and PHP faculty;
• The position must be proactive to problem solve and work effectively with a diverse group of individuals with unique needs;
• The incumbent must possess an in-depth understanding of the Department's strategic mission and internal policies and Standard Operating procedures (SOPs) as they will be responsible for gathering information and data from a wide variety of sources and summarizing for various modes of communication. For example, creative design and management of the PHP Departmental website and faculty profile and laboratory webpages.

Other Work/Responsibilities:
• General office support duties such as general correspondence, faxes, and mail; compose, type, and proofread letters and memos as required using departmental guidelines;
• Send faxes to faculty and/or staff;
• Update departmental phone listings as needed.
• Other duties as assigned.

Minimum Experience/Education:
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Required Qualifications:
• Ability to work effectively with minimal supervision.
• Must have excellent interpersonal skills and the ability to work with a diverse group of individuals including the department head, faculty, house officers, graduate students and PHP administrative staff.
• Strong organizational skills and attention to detail.
• Ability to quickly and creatively problem solve in order to provide faculty and department head with an effective resolution.
• Ability to maintain confidentiality at all times.
• Proficient with Microsoft Office, office technology, and email and calendaring tools.
• Excellent customer service skills and comfortable with frequent interruptions.
• Independently exercise judgment and discretion while applying policies and procedures set forth by the College and NCSU.
• Self-motivated with capability of understanding complex problems and bringing the appropriate resources together to resolve the issue.
• Excellent written and verbal communication skills.
• Ability to understand complex concepts and communicate effectively with individuals at all levels.
• Courteous and professional manner is a requirement of this position along with strong customer service skills.
• Proficient in the utilization of Microsoft office products. Capable of drafting professional and clear written correspondence. Strong grammar, editing and spelling skills.

Preferred Qualifications:
• Bachelor's degree preferred
• Experience working in a University/academic setting.
• Knowledge of university policy and procedures, specifically with the reappointment, promotion, and tenure process.
• Experience with website development.
• 5+ years working in an administrative support capacity.
• Understanding of financial systems and ability to pull basic reports.
