Major Areas of Responsibility

The Operations Manager will manage a wide range of duties associated with operational systems, infrastructure, internal communications, technology support, finance, accounting and broad administrative responsibilities.

Operations Management
• Lead the development of operations-related systems, policies and processes while looking for opportunities for improvement and the development and refinement of toolkits.
• Continuously interact with and assess all functional areas of the office and those involved staff to assess, support and improve their policies and procedures.
• Update various NAMI Maryland policies and procedures including the Personnel Manual and Board-approved Policies and Procedures.
• Maintain the internal operations procedure manual.
• Oversee scheduling systems for the entire office, including the maintenance and updates of the office calendar.
• Manage information and technology, including use of shared drive and overall data management (including maintenance of a linked index) and troubleshooting of problems involving software and hardware, technology aspects of the warmline and the NAMI Maryland CRM. This includes being the lead contact with the information technology contractor.
• Liaise with the NAMI Maryland Board of Directors and assist with scheduling of committee meetings, ensuring that documents for Board and Board committees are completed and filed appropriately and that required processes are completed on schedule.
• Assist the Executive Director in scheduled reviews and updates for organizational documents, forms and reports.

Human Resources
• Oversee the proper functioning of the payroll processing system (Paycom).
• Keep personnel records up to date as it relates to onboarding documents, evaluations, training, etc. and communicate needs or concerns to the Executive Director.
• Oversee staff meeting agendas and suggest staff development opportunities.

Finance
• Supervise the Administrative Assistant, who primarily focuses on accounting-related tasks.
• Partner with the Executive Director in developing annual budgets.
• Work with the third-party accountant to maintain accurate financial records, vendor invoices, quotes, spending on grants, and budget documents. This includes the proper payroll processing.
• Oversee the processing of deposits and payments, approval of invoices, review of cash receipt and other logs, monthly reconciliation of credit card payments and other ongoing accounting tasks.
• Oversee the development and maintenance of accounting toolkits and internal procedures.
• Work with the Executive Director to review accounting reports.
• Maintain various licenses, service agreements and insurance policies.
• Review and maintain vendor contracts including term, payment and scope of work.
• Closely work with the contractual accountant to maintain records related to vendors, grants and contracts.

Other

· Work collaboratively with NAMI Maryland volunteers and other staff.

· Provide support for major NAMI Maryland fundraising and advocacy events.

· Oversee the broad internship program, focusing primarily on identifying office needs and directing prospective interns to the leads for those functional areas.

Experience and Qualification Requirements

· Bachelor’s degree (Marketing, Business, Communications, Nonprofit Management, or related field)

· A minimum of two years of experience in non-profit operations with responsibility for supervising others preferred.

Knowledge, Skills and Abilities

· Excellent organizational, planning, and prioritization skills

· Ability to influence and persuade to achieve desired outcomes

· Strong facilitation and presentation skills

· Excellent oral and written communication skills.

We currently have an opening for an Administrative Manager. The Administrative Manager will undertake tasks that ensure our staff has adequate support to work efficiently. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The Administrative Manager supports the smooth running of NAMI offices and contributes to driving sustainable progress of our mission.

This position is based in Arlington, VA.

Salary Range: $60,000 - $65,000

ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Assist in managing office activities to support productivity and compliance with company policies
• Customer Service for NAMI Store inquires via store@nami.org and liaison with the stores CSR for inventory requests and file updates
• Respond to (via phone or email) and resolve assigned support requests for various departments
• Manage databases with tax exemption related information create accounts and ensure updates to state certificates in our Avalara system
• Complete NAMI Store tax reports in the absences of the Director
• Manage copyright materials on behalf of the organization; process applications, maintain files, and certificates
• Monitor facilities maintenance, ensuring the maintenance of equipment regularly (ice machine cleaning, coffee/water machine maintenance, HVAC maintenance, lighting changes, etc.)
• Manage the parking list, the building access system and process gym access requests
• Order office supplies for the office and for departmental projects
• Provide technical and administrative support for meetings in conference rooms
• Manage and support departmental and organization-wide projects as needed
• Provide mentorship and support to administrative staff in the Director's absence
• Provide coverage for the Coordinator and Sr. Coordinator positions as needed
• Be the 2nd point of contact for building security
• Other duties as assigned

MINIMUM QUALIFICATIONS:
• Proven experience as an office administrator or manager; 2 - 4 years' experience
• Outstanding communication and interpersonal abilities; Bilingual English/Spanish a plus
• Excellent organizational skills
• Ability to quickly learn and use new technology
• Familiarity with office management procedures and basic facilities principals
• Excellent knowledge of MS Office, Adobe, customer service systems and phone systems
• Experience in project management, vendor management and online stores a plus
• High school diploma required; BS/BA in business or relevant field is preferred
• Must pass background check
