Job Description Summary

The Office of the Vice President for Diversity and Inclusion seeks a dynamic and collaborative associate director of operations. Within Michigan Technological University’s Office of the Vice President for Diversity and Inclusion (OVPDI), we are particularly interested in individuals with a commitment to inclusive excellence and a history of promoting diversity, equity, inclusion, and sense of belonging (DEIS) in their work. The associate director works closely with leadership in OVPDI, along with partners across the University, to promote and publicize Michigan Tech’s DEIS efforts. As the associate director, you will report to the director of diversity and inclusion operations and be charged with the development and execution of all communications and marketing efforts as well as project management oversight and consultation in support of OVPDI’s overall strategic priorities. This person serves as the primary content strategist and writer for the unit across a range of publications and channels, with the ability to communicate effectively with core stakeholders including students, faculty, staff, prospective faculty and staff, donors, alumni, potential research sponsors and other professional/industrial/governmental/international stakeholders.

As a newly established role, you will have the opportunity to build a flexible communications program from the ground up with an emphasis on a data-informed approach that will cultivate close ties between our office, University Marketing and Communications (UMC), and internal and external stakeholders.

Essential Duties & Responsibilities (other duties may be assigned)

1. Work closely with the OVPDI leadership to create the overall communications strategy.
2. Translate organizational goals into achievable plans, operationalizing desired outcomes and coordinating with other staff on execution.
3. Support unit with project management needs through development of project plans, creation of relevant processes, and continued mentorship and consultation as needed.
4. Serve as consultant and advisor on communications and public relations matters for departments reporting to OVPDI.
5. Develop content and messaging for a range of publications to advance OVPDI’s mission and raise awareness about DEIS activities at Michigan Technological University (MTU). This may include, but is not limited to, writing and maintaining web content, social media content, newsletters and other communications and marketing channels.
6. In partnership with UMC, create and implement a strategic and comprehensive communications and marketing plan that will advance OVPDI’s strategic vision and raise the visibility of the University’s DEIS initiatives as articulated in MTU’s DEIS Strategic Plan.
7. Provide communications support to the VP as needed by preparing talking points for public speaking engagements, assisting with public presentations, and writing introductory letters and columns for University websites, newsletters, or other publications. Generate thought leadership opportunities as appropriate.
8. Help to promote outreach initiatives to inform, educate, and influence multiple stakeholders about OVPDI programs, speaker series, and/or DEIS-related events. This may include the development of digital and print marketing and promotional materials such as brochures, flyers, online and multimedia content in line with the University’s brand guidelines.
9. Work with OVPDI leadership and other units across the University to increase participation and community engagement in OVPDI activities.
10. Collaborate with lead communicators across campus to develop joint content, focus on shared initiatives that benefit MTU, and share learning and best practices as part of strategic partnership.
11. Serve as the primary communications liaison and point of contact for select diverse internal and external partners, such as advisory boards, partner institutions, affinity groups, and other relevant organizations. 12. Represent OVPDI with respect to events and activities on a local, regional, and/or national basis.

Job Description Summary

The Athletic Department is looking for a 12-month, full-time Assistant Athletic Director - Business Operations who would be responsible for managing the Michigan Technological University Department of Athletics and Recreation finances as well as communicating and partnering with the Director of Budget and Financial Planning on athletic and recreation areas as well as other assigned projects.

Essential Duties & Responsibilities (other Duties May Be Assigned)
• Serve as a financial expert and provide counsel to the Vice President of Athletics and Recreation on budget and cost information to inform effective decision-making and to allow regular reporting to the Vice President of Athletics and Recreation.
• Oversee the Central Ticket Office and all ticket sales, community programs and other financed functions including pricing strategies.
• Perform complex budget projections, analyses of actual activity, and cost feasibility studies to facilitate decision making and planning.
• Conduct periodic reviews of cost-effective purchasing and capital expenditures.
• Identify and plan short- and long-range financial goals for Athletics and Recreation.
• Utilize Banner and WebFocus to access information regarding student employment, finance, and human resources information.
• Assist Assistant Athletic Director - NCAA Compliance and Student-Athlete Academic Success with financial aid and team related revenue and expenditures.
• Monitor and collaborate with Athletics, Recreation, Intramural and Outdoor Adventure programs and Central Ticket Office business and finance operations, including day to day, monthly and year end operations.
• Plan, develop, manage, and track all athletic & recreation program budgets.
• Coordinate with the Director of Athletic Partnerships and Tickets Sales on tracking / managing finances of athletic marketing and sales.
• Ensure all revenue, deposit and expense transactions are coded according to Athletics & University policy.
• Analyze and prepare budget reports, statements and spreadsheets for internal and external use.
• Develop budget forecasts and create fiscal controls and records.
• Prepare and submit annual reports including EADA, NCAA, Conference reports, and other compliance related documents.
• Work in collaboration with the Assistant Athletic Director – Sports Medicine on student-athlete insurance and medical billing.
• Build and foster successful working relationships with other areas such as Purchasing, Financial Services and Operations, Payroll, Advancement and Financial Aid.
• Serve as approver for all staff Concur reports.
• Apply safety related knowledge, skills and practices to every day work.
• Provide leadership to foster a culture of safety.
• Participate in University committees, as appropriate.
• Functional supervision may be exercised over clerical support staff, graduate students and student assistants.
• Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in University continuous improvement initiatives.

Required Education, Certifications, Licensures (minimum Requirements)
• Bachelor’s degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired

Required Experience (minimum Requirements)
• Two years’ experience in accounting, financial management and planning, budget and data analysis.
• Advanced computer and software competency, word processing, spreadsheets, databases, and presentation applications.
• Experience working in the areas of financial management, accounting and/or budgeting
• Working knowledge of organizational business systems

Desirable Education and/or Experience
• Bachelor’s degree in accounting.
• Master’s degree.
• Experience working in a collegiate setting / NCAA Athletics program.
• Experience using Banner.
