Position description
The Patient Appointment Services Specialist is responsible for independently creating and scheduling appointments within the electronic medical record for a complex, multispecialty medical practice. This is supported by gathering patient-specific demographic and provider information to accurately assess the nature of the request and determine the appropriate appointment area; properly advising patients regarding the need for co-payments, referral authorizations, and/or pre-service deposits to ensure the patient arrives on time and is prepared for their procedure or visit; and collecting all Guarantor and insurance details needed to help assess patient eligibility. Through this process, the Patient Appointment Services Specialist responds to and interacts with a variety of individuals including patients, customers, referring physicians, Mayo providers, allied health staff and family members. Appropriate interpretation and application of Mayo policies regarding scheduling criteria and medical need are essential. To provide exceptional service, the Patient Appointment Services Specialist is required to navigate multiple systems simultaneously and is expected to be available or talking with patients and healthcare professionals 80 percent of the day, with the ability to service inquiries without consultation. This requires working with several complex scheduling work flows, managing telephone calls, online requests, and/or fax requests. Accuracy and thoroughness in all patient related activities including electronic communication, is critical.
This role requires flexibility which may include cross-coverage and travel depending on location. Position may be eligible for and/or required to telework based on location, work unit and business need. For all positions it is required to be on-site for at least 6 months to one year before teleworking could be an option. Hours may vary and additional time or overtime may be required to meet workload requirements.
Qualifications
High school diploma/GED and minimum two years’ customer service experience in an environment requiring multi-tasking, such as a call center, administrative/physician's office, appointment scheduler or retail/ service industry; OR Associate’s Degree. Individuals without relevant medical education or medical experience will be required to successfully complete a Medical Terminology course within six months of employment.

Qualified candidates must be customer-focused, service-oriented, possess strong verbal/written communication skills, and have the ability to trouble shoot, problem solve and balance conflicting demands. Role requires independent decision making and sound judgment capabilities, with a strong attention to detail and follow through. Position description
Manages the daily operations of assigned work unit/shop, plans, organizes, supervises, and coordinates the activities of employees within the department of Facilities Management (FM). The supervisor is responsible for mentoring, identifying and scheduling training needs/opportunities, planning work schedules, assigning duties, policy/system adherence, and monitoring the quality and timely completion of work. Qualifications
Bachelor's degree in business related field and 3 years' experience supervising/leading diverse teams OR Associate’s degree in business related field and 5 years’ experience supervising/leading diverse teams OR High School diploma/GED and 7 years’ experience supervising/leading diverse teams.

Bachelor’s degree in business related field preferred. Must demonstrate supervisory skills with strong leadership, team building, and problem-solving skills. Position description
Manages the daily operations of assigned work unit/shop, plans, organizes, supervises, and coordinates the activities of employees within the department of Facilities Management (FM). The supervisor is responsible for mentoring, identifying and scheduling training needs/opportunities, planning work schedules, assigning duties, policy/system adherence, and monitoring the quality and timely completion of work. Assists employees with problems or with difficult customer service issues. Provides budgetary input, oversees the purchase of supplies and equipment, initiates service agreements and manages the work unit's budgetary targets. Communicates effectively with customers to coordinate and resolve problems before they become a crisis. Ensures compliance with all institutional and division policies/procedures. Continuously examines work processes and data to improve efficiencies, outcomes, and service. Regulates staffing in accordance with fluctuating workload. Directs and monitors workload to consistently meet patient/customer needs. The supervisor is the primary change agent for staff and is the voice of the customer. Coaches, mentors, and develops team members and self to strengthen skills providing opportunities for professional growth. Provides orientation and training to new and current team members. Participates in various personnel actions including performance appraisals, corrective actions, and timecards. Participate in department committees, sub-committees, or task forces. Maintains compliance and knowledge of standards outlined by regulatory agencies (Joint Commission, OSHA, ERTKA, FDA, ADA, etc.) and job-related skills. Utilize and effectively interact with Division support resources. Continuously seeks to improve management skills and practices.
Qualifications
Bachelor's degree in business related field and 3 years' experience supervising/leading diverse teams OR Associate’s degree in business related field and 5 years’ experience supervising/leading diverse teams OR High School diploma/GED and 7 years’ experience supervising/leading diverse teams.
Additional qualifications
Bachelor’s degree in business related field preferred. Must demonstrate supervisory skills with strong leadership, team building, and problem-solving skills. Must be able to work collaboratively with multiple disciplines. Excellent organizational, interpersonal, written, and oral communication skills are required. Demonstrated ability to influence others. Position description
Provides direction to professional and supervisory staff in the Revenue Cycle. Participates in strategic planning for the Enterprise Revenue Cycle. Translates the Mayo Clinic and departmental vision into meaningful and effective responses and results. Delegates responsibility and authority to carry out work. Manages multiple functions and serves as a resource with oversight in day to day activities. May manage multi-site operations. May possess technical knowledge appropriate to functions being managed with additional knowledge in other functions including professional management. Participates in the overall management of the Enterprise Revenue Cycle by chairing and serving on Enterprise projects/groups, task forces, councils and committees.
Serves as a liaison between sections and other departments and agencies inside and outside Mayo. Creates customer service driven sections and fosters collaboration with physician and administrative colleagues. Builds teamwork within the Enterprise Revenue Cycle. Participates in retention planning initiatives. Travel required as assignments warrant.

Position description
Provides direction to professional and supervisory staff in the Revenue Cycle. Participates in strategic planning for the Enterprise Revenue Cycle. Translates the Mayo Clinic and departmental vision into meaningful and effective responses and results. Delegates responsibility and authority to carry out work. Manages multiple functions and serves as a resource with oversight in day to day activities. May manage multi-site operations. Serves as a liaison between sections and other departments and agencies inside and outside Mayo. Creates customer service driven sections and fosters collaboration with physician and administrative colleagues. Builds teamwork within the Enterprise Revenue Cycle. Participates in retention planning initiatives. Travel required as assignments warrant.
