SUMMARY

The Events Manager will assist in rental sales, planning and execution for Filoli’s Facility Rentals Program. This position will provide on-site support for all of Filoli’s Events. The Events Manager will schedule and manage Event Representatives, manage vendors and vendor relationships, assist in monitoring food and beverage inventory for event resources, provide high quality administrative support to the Director of Events (Director) and will primarily focus on successful event sales, planning, and execution. They will also support the Director with all tasks related to the rental program including answering inquiries, hosting site visits, managing contracting, vendor management, communication with other departments, and setup and take down logistics. Customer service, leadership, problem-solving and flexibility are essential skills required to be successful in this position.

The Events Manager position is a year-round, full-time and exempt position. Depending on candidate experience, the annual salary range for this position is $82,000 to $90,000. This position is also eligible for employee benefits: medical, dental, vision, life, LTD, Flex Plan, 401(k), vacation, sick leave and holiday pay. Based on business needs, this position will frequently work weekends and evenings so flexibility is important.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE:

Leadership
• In coordination with the Director, responsible for internal management and operations of Private Event Rentals and Internal Events;
• Supervise and schedule Event Representatives to support the operations of the Events Department, including scheduling for food and beverage needs;
• Serve as an active leader of the Events Team;
• Coordinate with peer departments especially in the area of operations, rental logistics, and cross departmental function;
• In coordination with Development, actively participate in the planning and implementation of Internal Filoli Events;
• Participate in weekly operations meeting and regular management meetings;
• Conduct regular departmental meetings, in coordination with the Director, to create consistent communication within the Events Department;
• Serve as a Frontline Manager on Duty, year round, and oversees the frontline teams during these shifts to maintain the highest quality of customer service and prioritization of the Visitor Experience;

Rentals

● Assist in the sales, booking, and execution of Facility Rentals;
• Coordinate internal resources and logistics for rental events;
• Provide on-site support for vendors and clients while developing on-going relationships to build client base;
• Ensure that clients and all vendors follow Filoli’s policies and procedures to minimize the impact on the property;
• Ensure Events Department is supporting and upholding Filoli policies and procedures;
• Ensure all breakdown of events is completed and coordinate with other departments to ensure venues are back to usual state for public;
• Regularly assess and update protocols and procedures for vendors and rental clients;
• Foster strong relationships with Affiliate Catering partners and vendors, including contract management and expectations in partnerships;
• Assist with managing wine inventory including weekly and monthly inventory counting, menu development, bar supplies, and setup logistics;
• Attend promotional or marketing events on behalf of Filoli;
• Assist with calendar management in Altru database, Google and other rental programs;
• Ensure office is presentable for client and vendor meetings;
• Perform administrative tasks as needed by the Director;

Events
• Directly support and act as lead for Filoli’s Development and Donor Events, and Staff or other Internal Events;
o Duties to include concept development, vendor contracting, coordination of set-up, event flow, timeline, food service, decorations, and clean up;
• Follow internal communications and support for the event:
o Coordinate with Director and appropriate staff,
o Attend appropriate internal meetings and review event details via event overview and conceptual plans,
o Maintain proactive communications with staff;
• Maintain internal systems for requesting and tracking resources and event needs (set-up, break-down, AV, linens, etc.);
• Assist with managing wine inventory including weekly and monthly inventory counting, menu development, bar supplies, and setup logistics;
• Work at Filoli events as needed (i.e. Holidays, festivals, weekend and evening programming);
• Assist in researching Research potential vendors for Filoli events;

Personnel and Budget
• Directly manage Events staff including hiring, scheduling, time tracking and management, training; evaluating and all coordination with Human Resources;
• In coordination with the Director, responsible for Events budget oversight including general staffing budgets; responsible for tracking and coding and reconciling with accounting;
• Actively participates in the onboarding process of all Events Representatives;

General
• Fulfill expectations as listed in Filoli Expectations for Directors, Managers and Supervisors (see attached);
• Provide excellent customer service and promote a positive visitor experience;
• Represent the highest standards in support of Filoli's policies, procedures, guidelines and standards;

This position directly supervises the Events Representatives.

MINIMUM QUALIFICATIONS

Education and/or Experience:

Education: Bachelor’s degree, or a combination of education and experience equivalent to a 4-year degree, preferably with a focus on hospitality or event planning.

SUMMARY

The Horticulture Production Manager is a position that requires attention to detail and innovation in a fast paced environment. Horticultural production has many facets that require one to stay on top of the short, medium and long term propagation for the formal and production areas along with management of the greenhouses, and the harvesting of vegetables, flowers and fruit, as well as distributing these to the appropriate internal and external partners. Because of the demands of the position and the ever increasing role of production within the department and the organization, innovation is critical to the success of the work done on behalf of the manager and the production team. Innovation is also a key aspect of how production will continue to improve best practices in all aspects of horticulture performed by the team. The expectation is to build on what has worked in the past while adapting and growing to support current and future goals.

The Horticulture Production Manager is a full-time, exempt salaried position. Depending on candidate experience, the salary range is $88,000 to $99,000 per year. This position is also eligible for employee benefits: medical, dental, vision, life, LTD, Flex Plan, 401(k), vacation, sick leave and holiday pay. The Manager will be working a flexible schedule to cover 7 day a week operations as well as support events and programs that may occur evenings and weekends. ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE:

Leadership
• In coordination with the Director, responsible for internal management and operational integration of the Horticulture Productions Program;
• As a member of the Operations Team, represent the Horticulture Department; prepare and implement plans for events and programs;
• Represent Filoli regionally and nationally in the horticulture community by serving as an external speaker and presenter and providing content for blogs and various publications;
• Coordinate with peer departments especially in the area of operations, event and program planning and scheduling, and cross departmental function;
• In partnership with the Retail, Learning and Events team, drives the production of consumables coming from the garden and being distributed for use in Filoli’s cafe, retail products and interpretation programs;
• Partner with others in the oversight of safety programs, accident prevention, emergency communication and documentation of training;
• Cultivate and foster community partner relationships;
• In coordination with development, participate in the fundraising process, including direct solicitation, project proposals and reporting;
• In coordination with the director, is a strong partner and ally with the Formal Garden Manager in sharing all the horticulture-related duties and responsibilities necessary for the production of Filoli’s Holidays event;
• Has strong leadership in programs related to production including flower and wreath parties, orchard events, and fundraising galas;
• Oversee vendors and expande vendor relationships;

Horticulture

Plan, schedule, coordinate and delegate horticulture activities and priorities for the orchards, cutting garden, greenhouses and historic vegetable garden:
• Oversee the day to day operations of the orchards, cutting garden, greenhouses (Area 5) and historic vegetable garden;
• Directly manage staff, apprentices, interns and volunteers to support the area operation including interviewing, onboarding, training, and evaluation;
• Be “hands-on” leader and actively working in daily horticultural tasks in garden areas;
• Implement overall quality standards to be maintained throughout the orchards, cutting garden, greenhouses and historic vegetable garden with a commitment to adopting sustainable ideology and practices whenever possible;
• Oversight of all aspects of production for garden and Clock Tower Shop including: harvesting schedules, storage, vendor coordination, and delivery;
• Develop a master produce production calendar for harvest and distributions;
• Knowledge of olive tree care and fruit production and utilizing olives in consumable products;
• Experience with bee keeping and getting a program off the ground at an extensive estate;
• Oversee production of annuals and vegetables including ordering, timing and growing;
• Oversee garden compost operations and be innovative in ways to constantly improve the operation;
• Oversee garden and greenhouse plant health as well as overall plant health and soil nutrition strategies for all gardens, including sustainable practices and integrated pest management (IPM) and nursery pathogen best management practices;
• Serve as a certified pesticide applicator and comply with and support Filoli Pesticide Use Policies;
• Assist Director of Horticulture and Plant Records Specialist to supervise and plan plant collections management recordkeeping in IrisBG, including mapping activities, and annual display production data;
• Oversee volunteers who support the care of the bonsai collection;
• Ensure that fruit trees and cutting garden perennials are verified as part of plant collection;
• Maintain a program of propagating historic plants from the garden for both routine replacement and in-kind replacement of sensitive specimens;
• Manage small tools and equipment and greenhouse systems including basic maintenance and repairs and/or coordinating outside support;
• Serve as the primary contact and collaborate directly with retail manager to develop targeted sales and displays strategies for outdoor retail ensuring the plant sales adhere to the spending budget, are aligned with opportunities represented in the historic garden and natural areas; direct the training of retail staff on plant material knowledge;
• Oversee maintenance of garden related plant and product displays in the Shop and support outdoor garden center;
• Oversee buying and counterpoint receiving/pricing of plant material from vendors;
• Expertise on flower arranging including understanding of foliage and flower harvesting techniques and ability to train staff in theses skills;
• Oversee apprentice and interns including project development, training, and projects;
• Support and facilitate the development of expanded programs in the areas of horticulture production and learning including interpretation of gardens and plant collections through tours, classes and other programs;
• Enforce safety standards regarding the use of equipment and pest management for the garden staff, interns and volunteers;
• Interact daily with Filoli visitors and encourage Horticulture Department to share information about our historic horticultural landscapes and displays;
• Provide support for special events and programs;
• Serve as a member of the Plant Collections Committee administering Plant Collections Policy;

The Events Representative acts as the official representative in the absence of the Director of Events or Events Manager for Filoli during special events, private rentals and weddings, corporate rentals, internal public events, and special public programming. This is a full-time, non-exempt, hourly and year-round position (30-40 hours per week, flexibly scheduled). • Assist Filoli’s on-site operations personnel (i.e. Visitor Experience staff, facilities, janitorial, etc.) in moving museum equipment (i.e. stanchions, kiosks, signage etc.);
• Assist in mediation of conflicts among guests, clients, vendors, Filoli staff, and emergency personnel by providing clarification and reiteration of Filoli’s policies and procedures;
• Remain until events are finished and until break down and clean-up are completed (or until shift end, which would be previously specified if earlier than event load out), direct caterers and vendors to be sure that Filoli is returned to original condition and perform walk through and final check;
• Maintain internal systems for requesting and tracking resources and event needs (set-up, break-down, AV, linens, etc.);
• Follow internal communications and support for the event:
• Coordinate with Director and appropriate staff,
• Maintain proactive communications with staff during and following events;
• Create and print signage and programs for public and private events;
• Ensure all breakdown of events is completed and coordinate with other departments to ensure venues are back to usual state for public;
• Attend promotional or marketing events on behalf of Filoli;

General
• Ensure office is presentable for client and vendor meetings;
• Perform administrative tasks as needed by the Director and Events Manager;
• Ability to provide the highest quality service to all customers in every interaction;
• Uphold all Filoli's policies, procedures, guidelines and standards;
• Work at Filoli events as needed (i.e. Holidays, festivals, weekend and evening programming);
• Maintain flexibility and perform other duties as assigned to respond to the needs of the organization;
• Attendance and punctuality are essential to work and all work-related functions.

MINIMUM QUALIFICATIONS

An individual must be able to perform each essential duty listed above and any additional responsibilities as directed as well as satisfy the educational and skill requirements listed below:

Education: High school diploma or equivalent; event planning or hospitality experience a plus.

• EXPERIENCE – Minimum of at least 1 year of experience in hospitality. Basic knowledge about wine and beer or willing to learn. Possess current Food Handler’s Certification (or obtain within 30 days of hire).

CERTIFICATES, LICENSES, REGISTRATIONS

A current CA ABC Responsible Bar Training License and Food Handler’s Certification is required (or obtained within 30 days of hire). A valid Driver’s License is required.

PHYSICAL REQUIREMENTS

The physical requirements described here are representative of those that must be met by an employee to successfully perform the essential functions of this job including:
• Lift/carry items up to 50 pounds;
• Physically pull and carry beverage cases;
• Stand, walk across uneven terrain, climb stairs, reach, lift, carry and bend frequently as well as sit for long periods of time at a computer.
