SUMMARY

Coordinate and maintain all continuing education corporate training related courses per class to ensure proper compliance with internal and external agency procedures for all training courses contracted with businesses or agencies. This position is responsible for course creation, records coordination with registrar’s office, bursar’s office billing, and reporting. Work with Director of Corporate Training and all Business Developers to insure that state and local CE course procedures are implemented, billing is followed-up, and all reporting processes and deadlines are met on a timely basis for any courses offered through contract training agreements.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
• Monitor and document student information concerning all contract training courses to provide companies employee completion reports;
• Schedule CE courses using People Soft, for all customized contract training courses;
• Coordinate, process, and maintain all computer documentation procedures for contract training continuing education course records data entry, including participant registration, billing coding, and contract compliance;
• Process all new course addition, special topics, local need forms and/or course changes/revisions received from contract training CE courses;
• Update system-wide course description inventory for customized courses;
• Refer to district Division of Extended Learning Staff Resource Page to locate non-credit classes syllabi as needed by Program Managers or Business Developers for upcoming courses;
• Back-up weekly process, distribution, and monitor all class rolls for contract courses, to ensure official course records are distributed, 3rd day class rolls are signed, returned timely, and accurately;
• Monitor and follow-up contract training class evaluations submission system-wide;
• Monitor and follow-up 3rd day class roll submission to Registrar for state reporting;
• Enter course grades data entry in collaboration with customized training faculty.
• Stay current of People Soft SPIN training;
• Stay current and WECM compliance guidelines;
• Maintain ongoing communication with system registrar’s office to ensure compliance in state reporting;
• Quarterly monitoring of all class evaluation processing and data analysis reports processing;
• Process registration of corporate training participants in People Soft SPIN;
• Attend training as needed for PeopleSoft and other training related to the department; and
• Process departmental correspondence (invoices, contracts, evaluations, etc.).
• QUALIFICATIONS

EDUCATION

Associate’s degree required. Five (5) years of directly related experience may be substituted for degree requirements.

EXPERIENCE

Three (3) years of related instructional, customer service, workforce and/ or student services support experience required.

Two (2) years of instructional continuing education and/or student services support experience preferred.

KNOWLEDGE, SKILLS AND ABILITIES
• Proficiency in word processing, spreadsheet, and database applications (Word and Excel) required;
• Proficiency in operating office equipment and utilizes software such as: Oracle, and the Microsoft Office Suite;
• PeopleSoft proficiency highly preferred;
• Ability to communicate and maintain productive working relationships with people at all levels of the organization;
• Demonstrated excellent verbal and written communication skills (English);
• Demonstrated excellent organizational skills;
• Excellent customer service skills required; and
• Some night and weekend work may be required.

SUMMARY

Perform database maintenance, implementation and patching.

Maintain inventory of servers to ensure proper records of installation, modification, troubleshooting and repair are kept.
