The Role:

Provides finance/budget oversight and management for Facilities Management Department operations and capital construction, including internal control management of the construction projects. Provides direction in the overall strategic business planning, accounting, and budgeting efforts of the department. The position supports the organization’s mission by providing a central core for financial/administrative direction and timely decision-making. Job Duties

Finance/Accounting
• Develop/implement/oversee all aspects of the accounting functions, including the capital/local construction funds.
• Establish a financial process that results in equitable spending plans for operating and construction funds.
• Preparation of financial analyses and reports to meet the requests and needs of Facilities Management, external State/Federal agencies, construction consultants and contractors, and business governing boards.
• Develop, maintain, and ensure internal controls are in place to ensure compliance with governmental and enterprise accounting principles, and applicable federal, state, and local regulatory rules and laws.
• Develop, interpret, and implement approved financial concepts and policies for financial planning and control.
• Establish and maintain an effective set of internal accounting controls.
• Develop forecasting models for financial planning.

Financial Construction Management

- Direct/supervise the financial control of the state and local capital construction funds - $60 to $170 million dollars bi-annually.
• Ensure spending, bidding, retainages, are in compliance with applicable policies, procedures, regulations, rules, and statutes.
• Ensure Project Managers have accurate and timely financial information.
• Ensure funds are reconciled and analyzed timely.
• Ensure close-out processes are according to applicable regulations.
• Establish and maintain an effective set of construction related internal accounting controls.
• Work closely with the Office of Financial Management (OFM) for input and timely reporting of capital construction information.

Budgeting
• Direct and coordinate budgeting activities, including budget research, formulation, monitoring, and presentation.
• Monitor budgets, including the operational and construction budgets, for over/under spending by the percentage of the month or project completion period.
• Analyze, compile, and store data used to prepare budgets and to justify fund requests.
• Ensure compliance with applicable CWU, federal, state, and local policies and rules and regulations.

Supervisor Duties
• Actively engages in recruitment and hiring new employees;
• Clearly defines performance expectations, ensure accountability, and provides ongoing informal feedback, coaching, and mentoring. Conducts formal performance evaluations;

Minimum Qualifications
• Bachelor’s degree in business administration, finance, accounting, or related field.
• Six years of increasingly responsible fiscal, auditing, and/or administrative management experience.
• Experience supervising professional and technical staff.
• Demonstrated excellent analytical and presentation skills, including effective presentation of financial reports and proposals
• Advanced computer skills for modeling financial information (pivot tables, queries, etc.)
• Demonstrated attention detail and strong problem solving skills.
• Experience or education in governmental or private sector accounting, financial planning or budgeting.
• Excellent oral, written, and interpersonal communication skills.
• Demonstrated proficiency in the use of Microsoft Office software (Word, PowerPoint, and Access) and enterprise database systems.
• Demonstrated willingness and/or experience working with students and/or co-workers from a wide range of abilities, backgrounds and experiences.

The Role:

The Program Coordinator assists and supports the Director of ISSS in the operations of international initiatives, program development, and student support. This position will organize and implement international student orientation and ongoing programs for students, assist in tasks that relate to programming, cultural adjustment, retention, community relations, and campus wide cultural sensitivity and global awareness. This position is also responsible for ensuring international students have the appropriate health insurance as required by the university. All employees are expected to support CWU’s commitment to diversity and to bring and support inclusion into the university environment.

Job Duties

Orientation and Student Programming

- Plan and implement quarterly international student orientation – liaise with other OISP and CWU staff to provide a comprehensive arrival orientation

- Plan and implement student programming throughout the year

- Coordinate the student arrival and orientation process and ensure that student’s arrival needs are met

- Provide updates to the international student population through online and written communication

- Assist other OISP staff and the leadership with campus wide international programming – implement or participates in major campus programming and training initiatives (Commencement, Freshman Convocation, International Education Week, International Café, World Languages Day)

- Forecast, monitor, and reconcile student programming budgets

- Promote international student volunteerism initiatives, establishing partnerships with community organizations and the Center for Leadership and Civic Engagement (CLCE)

- Coordinate a program calendar and help promote OISP programs on social media

- Communicate with faculty from academic departments who have a stake in increasing programming related to globalization initiatives

- Discover methods of communicating with students about event opportunities (i.e.: partnership with faculty development, instructors wanting to identify events that would count for extra credit; partnership with Residence Life to encourage RAs and other student leaders to help program)

- Serve as an advisor for the International House (LLC)

- Advise other international student clubs on activities and cultural events (as needed)

International Student Insurance Management

- Work with students to ensure they have proper health insurance as required by the university. This includes reviewing documentation provided by international students on F-1 and J-1 visas to determine eligibility for and, when appropriate, grants exemptions from automatic enrollment in the University’s health insurance plan

- Act as a day to day liaison between all entities by providing walk in and telephonic customer service support to all University customers

- Maintain a manual of policies and procedures pertaining to the University’s student health insurance program. This includes reviewing and making revisions to both the policy and procedures as necessary

- Participate in new student orientation sessions

- Collaborate with the university Business Services, Registrar, IT and Accounting departments to ensure smooth processes

The Warehouse Supervisor will play a key role in serving the campus Dining Department’s purchasing and delivery needs. You will report to the Systems Analyst/Warehouse Purchasing Manager. The Role:

Primary role is to supervise warehouse processes, systems, assets, full time and student staff associated with ordering, receipt, warehousing, tracking, inventory and distribution of food products for Dining Services. All employees are expected to support CWU’s commitment to diversity and to bring and support inclusion into the university environment.

Job Duties

Individual
- Work with dining staff to ensure timeliness, quantity, and quality of product delivery is being met.
- Participate in and supervise the activities of workers engaged in receiving, storing, testing, and shipping food products or materials necessary in CWU dining operation.
- Implement and practice warehouse safety and security programs and activities.
- Inspect physical conditions of warehouses, vehicle fleets, or equipment and order testing, maintenance, repairs, or replacements.
- Print and process incoming warehouse orders.
- Submit daily outgoing orders using menu/inventory management system software.
- Document orders, shortages and ensure invoices are corrected as needed and sent to Administration for processing.
- Respond to customers' or shippers' questions and complaints regarding deliveries, storage and distribution services.
- Ensure awareness of pricing adjustments and follow through on to ensure best cost is attained.
- Conducts physical inventories; prepares and maintains perpetual inventory, records, and correspondence files; keeps other records as required.
- Maintains good safety practices.
- Maintains storeroom, refrigerators and freezers arrangement and maximizes space utilization to accommodate current stock.
- Establishes delivery priorities and delivery destination points through coordination with manager and operations supported.
- Organize and ensure products are rotated through FIFO inventory process
- Establish communication with Dining managers to ensure proactive use of all inventory.
- Responsible for maintaining efficient and courteous customer service to all employees and guests.
- Prepares daily report for Dining operations and warehouse management of all receipts by suppliers; writes up receiving reports on truck shipments arriving at loading dock; prepares damage and shortage reports as needed.

Supervision
- Assigns tasks and monitors daily operations according to established guidelines, procedures and policies.

Minimum Qualifications

Experience & Skills:
• Extensive experience loading delivery vehicles and coordinating deliveries.
• Experience driving, operating and maintaining lift-gate equipped cargo box trucks and delivery vans.
• Food service supervisory experience.
• Knowledgeable in enforcing safety rules and regulations.
• ServSafe certification and practice upholding strict sanitation guidelines in food service operation (within 6 months of hire date).
• Proficient with ordering, receiving and properly storing perishable and non-perishable items.
• Inventory management experience in food service-related operation.
• Proven ability to use computer software applications including word, excel, menu management systems and electronic mail system.
• Ability to communicate with and maintain relationships with venders and account executives.
• Skilled in problem solving and able to initiate practical solution.
• Ability to lift 75 pounds from ground to waist and lift 50 pounds overhead.
• Ability to pull/push hand trucks with over 200 pounds.
• Demonstrated willingness and/or experience working with students and/or co-workers from a wide range of abilities, backgrounds and experiences.

Supervisory:
• Experience scheduling, training and monitoring work progress of warehouse staff and students.
• Able to organize tasks and follow through to ensure proper completion.
• OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position.

Necessary Special Requirements:
• Ability to obtain valid WA State Food Handler’s permit within 30 days of initial hire date.
• Participate in Serve Safe program and pass certification test within six months of initial hire date.
• Provide copy of driver’s license and evidence of clean driving record upon hire.
• Ability to complete forklift and specialty equipment training within 30 days of initial hire date. Become certified in training and providing forklift certification.

Preferred Qualifications
• 2+ years’ warehouse experience and 3+ years in warehouse operation.
• 2+ years’ proven personnel leadership.
• 1+ years’ operating forklifts and other associated warehouse equipment.
• OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position.

Pay, Benefits, & Work Schedule

Salary: $3,915 /month with periodic increases up to $4,541 /month

Schedule/Appointment: Monday - Friday, 7:00am-4:00pm (1 hour lunch)

Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer workstation for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.

Work is performed primarily indoors, at times in hot/cold/noisy/wet areas with some exposure to hazardous equipment and products. Working in temperatures from 0 degrees (freezer) to 350+ degrees (around cooking equipment) is common. Work requires walking and standing (often in a stationary position) for the majority of each shift. Bending/climbing/carrying/pulling/pushing/lifting associated with loading/unloading of supplies and preparation, plating and serving of food is required. Occasional overtime is required, and shift work may be required.

Work is performed in a Warehouse environment. Primarily indoors. Exposure to cold temperatures in freezers, coolers and loading docks. Frequent bending/climbing/carrying/pulling/pushing/lifting associated with loading/unloading of supplies and equipment. Routine use of mechanized equipment including forklifts, pallet jacks, vehicle lift-gates and related equipment. Frequents use of cargo and transport vehicles. Occasional overtime is required, and shift work may be required.
