Position Summary

The National Constitution Center’s mission is to bring together people of all ages and perspectives, across America and around the world, to learn about, debate, and celebrate the greatest vision of human freedom in history, the U.S. Constitution. We seek to educate, inspire, and engage Americans about the Constitution and, importantly, teach the habits of civil dialogue and deliberation on which the future of our nation depends. Our mission could not be more urgent today, and we have developed an ambitious, five-year strategic plan as we prepare for America’s 250 years of independence in 2026. From major programmatic initiatives to capital projects, we seek to build on our strong foundation in service of our mission.

The Assistant, Strategy & Development is a key contributor to the National Constitution Center’s mission and strategic goals. This position is the perfect fit for an individual looking for exposure to the full range of fundraising and development operations and best practices, working closely with the Chief Strategy Officer and Vice President of Strategy & Development, and who desires to join a small, high-tempo team, with opportunities for great growth potential. This position will help ensure that the strategy and development team is creating, cultivating, and sustaining key donor and prospect relationships, developing long-term strategies and fundraising pitches, and executing against other critical projects.

The Assistant, Strategy & Development plays a key role in the cultivation, strategy, and administrative duties related to the Center’s highest dollar donors (members of the President’s Council), as well as foundation and corporate donors and prospects, and assisting as needed with our membership program. Areas of responsibility include donor management and cultivation via drafting donor communications, conducting donor and prospect research, and preparing background briefings for meetings; management of internal tracking systems and ensuring the quality of donor and prospect data in the Center’s database and marketing systems; logistical and administrative duties; and other projects as assigned.

The ideal candidate is strongly committed to the NCC’s nonpartisan mission and is motivated by our important task ahead. We welcome candidates who have recently obtained their bachelor’s degree or who are graduating in May 2023, as well as candidates with a couple of years of experience in nonprofit development and fundraising. The individual in this position must be able to exercise discretion on sensitive matters, be well organized, detail-oriented, have strong written and verbal communication skills and great time management, and be able to execute projects and tasks with minimal supervision.

For exceptional candidates, remote work arrangements will be considered, with the expectation of regular in-person travel to the office in Philadelphia.

Responsibilities and Duties
• Draft donor communications, from meeting asks and thank you notes to cultivation emails, and manage internal cultivation pipeline.
• Manage the Center’s donor acknowledgement process—draft formal acknowledgement letters to donors each week and manage the execution and mailing of personalized letters from the Center’s president.
• Conduct prospect and donor research using various subscriber databases.
• Prepare background briefings/strategy memos in advance of key in-person or virtual meetings for senior leadership.
• Draft monthly President’s Council email newsletter from Chief Strategy Officer.
• Schedule, suggest speakers and topics, and draft copy for monthly President’s Council Conversation Series; manage logistics of the event to include list pulls, invitations, and technical aspects of the live program.
• Assist with in-person events involving the Center’s Board of Trustees and highest dollar donors.
• Ensure all donor and prospect communications are appropriately tracked and recorded in the database for $10K+ individual donors and prospects, as well as all foundation and corporate donors and prospects.
• Assist as needed with the Center’s Membership Program—helping to execute monthly or quarterly mailings, assisting with Member only-events, and responding to Member inquiries.
• Manage the production and mailing of materials in advance of or following meetings, or for departmental solicitations and other mailings.
• Manage the calendar and travel logistics for the Chief Strategy Officer, including scheduling internal and external meetings, booking travel and lodging, preparing trip itineraries, and preparing monthly expense reports.

The Visitor Engagement Representative (VER) plays a significant role in providing a memorable experience for all visitors to the Center. Position Summary

The Institutional Events Manager reports to the Vice President of Strategic Initiatives and Deputy COO. Core areas of responsibility include collaborating on the NCC’s signature and high-profile stakeholder events, such as the annual Liberty Medal Ceremony and the President’s Council Retreat, a gathering of the NCC’s top donors and Board of Trustees. This position also collaborates on all Board of Trustees meetings and other special initiatives. This role will require partnering with and working through cross functional teams across the organization. Responsibilities include list/invitation management and tracking, development of event/meeting collateral and logistics, and onsite management and troubleshooting, among other tasks. Additionally, this position supports the Vice President of Strategic Initiatives and Deputy COO with project management of various strategic initiatives, as well as some day-to-day tasks such as scheduling and other administrative duties. Please note, the National Constitution Center’s institutional events are of institution-wide significance and differ from National Constitution Center facility rental events, which are the responsibility of the internal events team.

The ideal candidate is committed to the NCC’s mission and has a minimum of five years’ experience, preferably in the nonprofit field with specific experience in event management, fundraising, or executive support roles. The Institutional Events Manager possesses very strong verbal and written communication skills, sound judgment, attention to detail, and the ability to work with internal and external constituents including staff, board members, donors, vendors, and community partners. The strongest candidate also possesses a high level of discretion, is able to work independently as well as part of a team, easily adapts to changing circumstances, and is willing to travel and execute tasks outside of business hours.

Responsibilities and Duties
• Support departments in conceiving, planning, and executing events that effectively engage target audiences.
• Assist with the execution of the annual Liberty Medal ceremony; specific responsibilities include list management, tracking RSVP information and sponsorships as applicable, database management, event collateral, onsite management/logistics/ troubleshooting, and interacting with guests and Board Members, among other responsibilities.
• Assist with the execution of the annual President’s Council Retreat—source and secure venues and vendors, manage process for development of collateral needs, track RSVP information, execute fee payments, acknowledgments, and receipts, serve as a key member of the on-site event team.
• Utilize internal CRM and create other tools to manage invitations, registration processes, collect payments if applicable, track RSVP’s and finalize attendee information.
• Assist with the execution of all Board of Trustees Meetings and Committee Meetings, to include Board Book production, gathering and producing other materials, onsite set up and logistical support for in-person and hybrid meetings.
• Manage purchase order process and ensure invoices are coded to appropriate events.
• Collaborate with Executive, Events, Communications & Marketing, and Development teams on all signature events.
• Manage some administrative and logistical duties for the Vice President of Strategic Initiatives and Deputy COO.

Special Skills/Qualifications
• Minimum of five years’ experience either in nonprofit development or in a field related to event management, fundraising or executive support roles
