Position Summary

The Director of Sales is responsible for total account management of large national associations and trade shows; creating awareness of McCormick Place and the city of Chicago as a global destination. This position is a key, aggressive sales position at Choose Chicago. This position will carry a high production goal, in a very demanding and competitive marketplace.

We are looking for a high-level sales leader respected by peers and customers. This position will require consultative and strategic sales mastery in creating awareness, driving interest and closing business for the city of Chicago and McCormick Place; selling all Choose Chicago services within the association and trade show segment; representing Choose Chicago in a professional and business-like manner and ensuring attainment of key result area goals as well as yearly goals.

Essential Duties and Responsibilities
• Responsible for total account management and new business development. The main industry segments are manufacturing, food & beverage, science/technology and education.
• Individual must have strong sales skills to maximize the potential for this market segment.
• Individual must develop a professional business/market plan to develop, maintain and close business for the destination and McCormick Place.
• Call on assigned accounts and develop new accounts yearly.
• Develop and maintain a high profile at all assigned industry events and trade shows.
• Work with the entire sales team to develop a future-years strategy for the development of new events currently at McCormick Place.
• Maintain current knowledge of associations, trade shows, public shows, conventions, trade show trends and trade show calendar.
• Maintain current knowledge of all exhibit facilities and hotel capabilities in the metropolitan area and their effect on the association and trade show segments.
• Increase share of the association and trade show markets, maximize productivity of these segments and periodically make sales trips to cities where concentrated efforts are taking place.
• Possess a complete and comprehensive knowledge of competing cities and all trade show facilities.
• Develop, share and promote sales benefits and enhancements to promote competitive distinctness of Chicago, McCormick Place and Navy Pier.
• Comply with established policies and guidelines applying Choose Chicago operations and employee conduct.
• Develop and execute feasible short and long-term plans and strategies for achieving department goals and objectives; anticipate critical obstacles and issues.

POSITION SUMMARY

The Client Services Coordinator will provide administrative and project support to the Client Services Department. Main responsibilities will include creation and distribution of Group Resumes; creation of hotel maps and other promotion materials; managing the Artwork Program; data entry into the CRM (Simpleview); organizing the Driver Program; and serving as support to the Project Manager for the Ambassador Program.
RESPONSIBILITIES
• Manage the Choose Chicago Artwork program. Responsibilities to include researching artists, negotiating the Artist of the Year contract, and facilitating the ordering and delivery of artwork to the Client Service Managers in a timely manner.

POSITION SUMMARY

The Sales Support Specialist is responsible for providing strong administrative support for up to four (4) Sales Managers with distinct geographic and size markets. The ideal candidate will be able to work independently and handle multiple projects and details simultaneously. This Specialist sets the example for the coordinator team with a strong understanding of departmental standards, work quality, and the ability to advise other coordinators on efficiencies and work standards.

The job requirements are as follows below with the ability to manage multiple tasks with efficiency.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Sales Team Support:

· Support designated sales team with client accounts including handling client inquiries.

· Overall support with administrative tasks to ensure the success of designated sales team reaching their goals and servicing their clients.

· Lead catcher for RFPs and general inquiries that are submitted via Cvent, Choose Chicago website, or direct from client.

· Understand the sales department deployment and know each salesperson’s markets to accurately assign leads and connect potential business with the respective salesperson.

· Building robust leads in Choose Chicago’s CRM to provide salespeople with appropriate information to service the lead.

· Prepare and source leads on behalf of the salespeople to hotel and venue partners via Choose Chicago’s CRM and email.

· Communicate with partners being sourced on leads and update them with revisions, confirmations, lost business, and lead follow up.

· Extensive data entry in Choose Chicago’s CRM to maintain and update account records accuracy.

· Assist sales team with the logistical details of site visits: secure accommodations, arrange transportation, arrange appointments, create itineraries, site booklets, order gifts, distribute necessary site documents to appropriate clients and partners.

· Assist sales team with materials to secure definite bookings in Chicago, such as hotel grids, bid books, destination booking agreements, proposals, letters of agreement, and other research related tasks.

· Prepare scheduling memos, definite booking packets, definite approval submissions, and appropriate forms to support the sales team in booking McCormick Place business.

· Lead (and delegate as necessary) the creation and updating of sales training materials, organizing logistics and tracking of best practices for Choose Chicago’s CRM, sales bid book, site itineraries, site books, excel spreadsheet/graphs and power-point presentations (to include personalization of bids), and other templated materials.

· Liaise with Choose Chicago’s Database Administrator to assist with and delegate projects as they pertain to reporting and data accuracy.

· Assist partners with contact and access updates to the Partner Extranet.

· Assist with other projects as needed.

Leadership/Training:

· Initiate semi-monthly meetings with coordinator team to make sure standards are being kept with regards to SOPs, deployment, and quality control. Present all feedback in the coordinator team’s day to day workflow to VP, Hotel Sales for direction and/or implementation of more efficient processes.

· Authority to delegate work assignments of respective sales team tasks to other coordinators in the interest of efficiencies and equalizing workflow.

· Assist with the education and training of new sales employees as it relates to the CRM and departmental SOPs.

Business Development:

· Follow up with clients or partners to resolve open questions or issues in general.

· Collaborate with designated sales team on their quarterly/yearly goals by tracking their funnels and obtaining contracts and necessary information for turning business definite.

· As appropriate, assist with and attend Choose Chicago events and FAMs.

MINIMUM QUALIFICATIONS

· High school diploma, college degree preferred or equivalent experience.

· 3+ years of administrative work experience, showing effective training in team support, project management and general administrative functions.

· Possess extended knowledge of the administrative processes of supporting a group Sales team. Design and/or enforce standard operating procedures for successful completion of assignments.

· Simpleview CRM database software experience preferred.

· Prior experience in the hospitality, convention bureau or sales industry a plus.

· Proficient MS Office skills, including Word, Excel, PowerPoint and Outlook.

KNOWLEDGE, SKILLS, AND ABILITIES

· Must be technologically proficient with email, power point presentations, excel, word and other computer related tools.

· Excellent interpersonal skills: ability to interact with staff at all levels, as well as outside clients and vendors in a fast-paced environment with a high level of professionalism.

· Proactive and customer service oriented.

· Proven project coordination experience.

· Ability to work effectively under pressure.

· Strong decision-making ability and attention to detail.

· Ability to effectively communicate both verbally and in writing with a strong knowledge of spelling, grammar, and punctuation.

· Ability to represent Choose Chicago in a professional manner while interfacing with internal and external clients, good telephone skills.

· Possess good organizational and time management skills to handle multiple projects simultaneously.

PHYSICAL REQUIREMENTS AND ENVIRONMENTAL CONDITIONS
