Candidate will be in direct contact with talent, Convention promoters and agents, so a working familiarity with the fan convention industry is a plus.

Prior Convention experience in use of CRM software Monday.com is highly recommended for this position.

Responsibilities Include:
• Learning and using company platform and software
• Working with marketing and the social media coordinator
• Must have an excellent grasp and understanding of social media
• Working with operations to ensure that all assets are quality and that all print needs are handled in advance of all events
• Handling all post-event correspondence and reporting

We're looking for a few outgoing, energetic, upbeat and detail oriented individuals to help us at our trade show booth for various events throughout the year. This position is contract only and not full time; it is as-needed for weekend events. We attend a variety of trade shows and conventions throughout the year, both locally and out of state including Anime, Gaming, Esports, Travel, Tattoo, and Steampunk conventions along with many more!

We're currently hiring immediately for help at an event we will be attending May 18-21st. If all works well, there may be continuing work at additional events moving forward.

We're primarily looking for someone who will be willing to perform the following duties:
• Assist with set-up and tear-down of booth
• Pass out flyers at the front of the booth
• Draw people into our tradeshow booth to learn more about Anime Magic!
• Be willing and interested in cosplaying at our booth as directed by our team
• Learn our sales pitch (we will teach you) and programming offered at Anime Magic! to promote the event to potential attendees
• Assist with selling merchandise at our booth
• Assist with hosting games at our booth (simple games such as plinko) and handing out prizes
• Potentially assist with post-show labor such as unloading and inventory at our storage facility

In addition to the hourly pay we will provide you:
• A badge to the event(s) you're attending, so you may enjoy the convention or tradeshow when you are not working at our booth
• Meals during working hours
• Parking reimbursed when a parking fee is required to attend the event
• Free Anime Magic! merchandise (upon Director's discretion)

What we are looking for: Event Planning Coordinator

Purpose of this role: The ideal Event Planning Coordinator is a team player who liaises with internal and external key stakeholders during the event planning process to execute key deliverables and ensure projects adhere to scope, schedule, and budget.

Education/Experience: Bachelor’s degree in hospitality management or related field or 2+ year’s event planning experience.

Essential Functions: The major areas of responsibility include:

· Handle the day-to-day administration and coordination of several SPJA events, including our main flagship event, Anime Expo which draws over 100,000 attendees every year.

· Own every aspect of event planning - including vendor relationships, contract administration, volunteer recruitment and issues resolution.

· Uphold the company’s mission and core values with every event.

· Recruit volunteer personnel as needed across all functions within your department.

· Book venues, schedule guests, and manage the full cycle of contract management.

· Participate in the development of original content for our events. Frame up new ideas for approval of senior management.

· Serves as point of contact for all day-to-day communication with third party vendors, industry partners and sponsors.

· Helps create operational budgets.

· Keeps budgets and timelines under control.

· Identifies different staffing solutions for events. Provides onboarding training for respective departments.

· Other duties as assigned by management from time to time.

Knowledge, Skills and Abilities Desired:

•Minimum 2 years event planning experience

•Professional certification such as CaPM is desirable but not required.

•Ability to remain calm under pressure and maintain a customer-service mindset.

•Understanding of financials, budget, forecast, variance, and related reports.

•Excellent computer skills, including Microsoft Office and online software programs.

•Advanced knowledge of PowerPoint, Acrobat, and Excel.

•No commitments to other conventions.

•Must be able to perform required tasks and manage staff at conventions away from SPJA office.

•Respect for anime, Japanese culture and its lifestyle, and familiarity with fandom communities is a plus.

Physical Demands & Work Environment:
• The duties of this position are normally performed indoors in a business/office setting. The noise level in the work environment is usually moderate to loud during events and minimal during non-event times.
• During the convention, this individual must have the ability to stand/walk for up to four hours at a time as there is constant walking required during the convention.
• The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
• Ability to lift and handle packages up to 30 lbs. in weight.
