Essential Duties and Responsibilities...
• Leads, manages and oversees execution of exhibition/event projects, marketing plans, and supplies to ensure the project is delivered in a timely manner
• Develops and maintains detailed proposals for Garden events (e.g. timelines, venues, suppliers, legal obligations, and staffing); meets established budget and timeline goals for identified events.
• Actively participates in contract negotiations with event organizers and governing bodies.
• Successfully manages project budgets, including forecasting and cost analysis.
• Actively participates in business planning, budget preparation, designing and preparation of marketing briefs, planning schedules, general oversight of operations, and identifying appropriate staffing plans. Oversees the coordination of venue management, caterers, stand designers, contractors and equipment hires.
• Identifies and secures speakers or special performers when necessary.
• Approves layouts for all events, both inside Garden buildings and outside on Garden grounds.
• Works with clients and designers to create a brand for the event and organizes the production of tickets, posters, catalogues and sales brochures.
• Implements acceptable project management practices to enhance quality standards.
• Leads and mentors project team members and direct reports by providing direction, resources, and communication to maximize effectiveness of event planning and execution processes; Establish goals, clarify expectations, and monitor performance with clear and timely feedback to ensure team efficiency and workload balance.
• Coordinates suppliers, handles client inquiries problem resolution issues leading up to and on the day of the event, working toward a successful event execution.
• Behaves and communicates in a manner that promotes and fosters a culture of teamwork and cooperation, within our division and throughout the Garden, with coworkers, supervisors/managers, volunteers, visitors and employees.
• Follows all established Garden policy and procedures, including those outlined in the Employee Handbook and Safety Protocols.

Supervisory Responsibilities: This position supervises the Sr. Events Coordinator, Events Coordinator, Event and Meetings Coordinator, Event Production Coordinator, and Event Staff and Volunteers as assigned.

Qualifications:
• Minimum of Five to Seven (5-7) years' related experience in special events management required.
• Prior experience negotiating contacts is preferred.

• Thorough understanding of accounting & budgetary processes is highly desirable.
• Experience in the areas of marketing, business, and retail are strongly preferred.
• Prior experience working with multicultural groups and organizations is a plus.

Summary: Develops and manages relationships with new and existing foundations. Monitors grant processes and ensures compliance with funder guidelines.

Essential Duties and Responsibilities:
• Develops and implements strategies to increase foundation and sponsorship support of the Garden's priorities in conjunction with priorities set by our Intuitional Advancement leadership team.
• Prepares materials and meets other support needs as requested by division management for communication with Board members and other key volunteers engaged in gift solicitation.
• Assists with the sponsorship program to secure support for the Garden in exchange of sponsorship recognition and promotion. Helps to identify, cultivate and steward sponsorship partnerships to enhance public events and exhibitions. Oversees foundation relations program, including proposal management among Garden divisions. Identifies, cultivates and stewards foundation donors and trustees. Works collaboratively with internal and external sources for prospect research, grant writing and grant reporting.
• Assists with general correspondence and Bulletin articles.
• Maintains an updated calendar of deadlines and next steps for foundation proposals and grant reports for projects across all Garden Divisions.
• Works with division staff to ensure accurate gift entry and record maintenance of all corporate and foundation records (active and archive), including the reconciliation of non-Development generated grants that are initially received and recorded through the Controller's Office.
• Follows and adheres to established policies and procedures, including but not limited to Employee Handbook, Garden Safety Guidelines and Department Policies.

Salary: $15.30 per hour to start.

Schedule: Full-time (40hrs/week), 6:00am- 2:30pm, Willing to work days, weekends, and holidays.

Job Responsibilities:
• Maintains the internal and external appearance of the Garden
• Performs general daily housekeeping duties
• Set-up for various events hosted at the Garden
• Remain alert, courteous, and helpful to visitors and employees at all times
• Ensure that all recycled compost and landfill materials are placed in the correct containers
• Operates Garden vehicles such as golf carts, F150, Cushmans or other similar vehicles
• Sweeping, vacuuming, mopping, dusting, washing surfaces, emptying trash, and other duties as assigned

Job Requirements
• Ability and willingness to work in varying temperatures and all-weather conditions
• Must possess and maintain a valid driver's license and clean driving record.
• Ability to lift 30 - 60lbs
